Administrative Assistant & Facilities

Our client, an established and industry leading engineering firm, is seeking a detail-oriented and proactive Facilities Coordinator with 3-5 years of experience to join our team. In this role, you will play a crucial part in ensuring the efficient operation and maintenance of our facilities. The ideal candidate will have strong organizational skills, excellent communication abilities, and a keen eye for maintaining a safe and welcoming work environment.

Location: Newark, NJ

Salary: $20.00-23.00/hr.

Responsibilities:

Assist in the administration of contracts with facilities vendors.

Ensure compliance with service level agreements and standards set by vendors.

Cultivate positive relationships with external service providers.

Provide logistical support for onsite events, including room configurations, catering orders, and cleanup arrangements.

Greeting guests and internal staff

Managing office calendars and scheduling appointments

Assist in desk arrangements for new hires, employee moves, and departures.

Coordinate and oversee daily facilities operations, including maintenance, repairs, and services.

Monitor and manage work orders to ensure timely completion and proper resolution of facility-related requests.

Implement and maintain effective systems for tracking facility-related tasks and ensuring their completion.

Qualifications:

Previous experience in facilities coordination or a related field (3-5 years of experience preferred)

Ability to work on-site 5 days per week

Microsoft office experience

Strong organizational and multitasking skills.

Excellent communication and interpersonal abilities.

Familiarity with safety and environmental regulations.

Proficient in using facility management software and tools.

Ability to work collaboratively and independently.
