Job Title: Administrative Assistant

Location: New York City/In office- 4 days

Responsibilities:

* Provides general administrative support, which includes but is not limited to creating, maintaining, and editing documents, spreadsheets, files, and presentations.

* Is responsible for heavy calendar management utilizing Microsoft Outlook; must be flexible with last minute schedule changes and urgent meeting requests.

* Screens a high volume of telephone calls from both internal and external sources.

* Handles multiple tasks with little or no supervision.

* Works on special assignments as needed. Such items may require research, development and/or interpretation of data and be performed with little supervision or instruction.

* Tracks action items and deliverables for the executive and proactively schedules the time required to address them.

* Coordinates meetings, including ordering meals, arranging travel, preparing meeting rooms, invitations, etc.

* Monitors and addresses critical e-mail correspondence.

* Prepares expense reports.

* Schedules internal and external meetings; prepares agendas and follows up on action items from the meetings.

* Prepares and maintains presentations and reporting materials.

* Performs personal assistant duties as required by the executive.

* Provides coverage for other administrative assistants on the executive floor including handling telephone coverage, travel arrangements, calendar management and personal assistant duties.

* Meets designated deadlines and works effectively in a pressurized environment.

Qualifications:

* Is discreet, possesses good judgment and can maintain the highest level of confidentiality.

* A minimum of 1+ years working as an Executive Assistant to a C-Level executive.

* BA or BS degree.

* Financial Services experience preferred

* Ability to interface professionally with all levels of employees.

* Must possess superior written and oral communication skills.

* Must possess strong intangible qualities, including being personable, pleasant to be around, driven, loyal and highly committed to the role.

* Proficiency in MS Office products including Word, Excel, Access, Power Point and Outlook. Excel knowledge must include V-look ups and pivot tables.

* Exceptional organizational skills are necessary to succeed in this position.

* Must be flexible and able to work extended hours occasionally.

Educational Qualifications:

* Bachelor's Degree required

Salary: $45,000 - $50,000

The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package, this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
