Job Summary The University of North Georgia is accepting applications for an Administrative Assistant II on the Cumming campus. This position is responsible for providing executive level administrative support and managing the day-to-day activities of the Office of the Executive Director for the Cumming Campus. This position acts on behalf of the Executive Director to numerous constituents externally and within UNG as needed. The position is responsible for event management for the Cumming Campus both in planning campus events, working with other partners on external events, and assuring spaces are prepared for all events. Responsibilities
  • Develop, implement, and coordinate campus administrative processes to support campus goals.
  • Provide first response to student, faculty, and staff needs for UNG departments not on Cumming Campus in delivery of services, specifically Card Services and Auxiliary vending operations.
  • Serve as coordinator for Info Desk personnel; maintain administrative records and files; arrange for rooms for CE courses, academic classes and special events for employees, campus and community; Act as liaison on behalf of Exec Director with departments on campus and throughout the institution, Board of Regents, and other schools within the University System of Georgia and the general public.
  • Facilitates campus community-related events by coordinating with university administrators, vendors, performing groups, community organizations, special guests, event support staff, and others as appropriate. Coordinate facility, catering, custodial, location set-up, audiovisual, concessions, safety, security, photography, and personnel needs for each community related event.
  • Tracks, monitors expenses for events and prepares reports as needed. Serves in a lead role for the planning and execution of the annual Backyard Bash signature event held on campus to raise scholarship funds.
  • Other related duties, as assigned, to support the success of the Cumming Campus
  • Enter academic class schedules into Banner.
  • Serve as approver/manager for the UNG Event System, Series 25, working with departments, faculty and community personnel to ensure the best utilization of campus space Assign faculty offices and maintain schedules, keys and key inventory for all offices. Maintains records of faculty and staff office assignments, faculty office hours, telephone listings and email distributions.
  • Provide critical coordination activities as related to management of the physical facilities on the Cumming Campus.
  • Serve as the Building Coordinator for the campus emergency plan.
  • Responsible for coordinating building opening and closing hours with all campus constituents to include modifying the on-line access control system as needed weekly.
  • Provides weekly building class and event schedule to campus constituents for awareness and for quick instructional room changes if needed due to unforeseen circumstances.
  • Identify maintenance work needed and enter work requests into Facilities, on-line system, School Dude.
  • Select and purchase office supplies and equipment for campus as needed and monitor campus needs for new items.
  • Oversee all campus equipment needs, including upkeep. Manage campus copier/printer contracts for compliance and reporting.
  • Coordinate campus leadership meetings, maintaining and sharing notes with staff via Sharepoint/Teams; provide highly confidential administrative support to faculty and staff.
  • Provide notary & I9 processing service as needed.
  • Develop and implement policies, procedures, and related projects to further the success of the Cumming Campus.
  • Manage Executive Director's calendar by scheduling and tracking appointments, gathering appropriate documents, developing agendas, and monitoring schedules to ensure that all appointments flow smoothly.
  • Coordinates internal leadership meetings and other meetings as needed.
  • Provides administrative support of a highly confidential nature to include budget reconciliation, travel expense submittals, and UNG Foundation deposits and reimbursements.
  • Coordinate payment kiosk system to include retrieving funds submitted and transferring them to the Dahlonega campus.
  • Serve as point of contact for digital signage for campus; maintain and update signage as needed; serve as approver for items for campus bulletin boards
  • Provide backup assistance during student advising and registration periods; Open House, NSO and Weeks of Welcome
  • Supervise student workers & manage their schedules; assist with processing them in/out.

  • Extensive knowledge of campus and general office policies and procedures.
  • Excellent oral and written communication skills; effective organizational and time management skills.
  • Must have excellent interpersonal skills and enjoy working with students, staff, and faculty.
  • Ability to interact effectively with internal customers and external agencies.
  • Must be able to set priorities and meet deadlines.
  • Must be able to work unsupervised.
  • Must maintain highest degree of confidentiality.
Required Qualifications
  • High School Diploma or GED required
  • Ability to obtain Notary
  • Requires five years of clerical or administrative experience; or equivalent combination of education and experience

  • Bachelor's Degree preferred
