Comunilife Inc. is looking for an Administrative Assistant to support its congregate program in the Bronx, El Rio II. The Administrative Assistant typically oversees routine and advanced duties for other professionals. They work closely with Administrators and other employees to organize files, create correspondence, and prepare reports or documents. Their job includes a range of clerical tasks such as managing calendars, sorting mail, and preparing invoices. They may also be responsible for engaging in event planning and meeting setup and implementation. This position is eligible for Comunilife's generous benefit and paid time off package.

Schedule:

Mon.-Fri. 8am-4pm

Essential Duties:

  • Answer phones and greet visitors.
  • Schedule appointments and maintain calendars.
  • Schedule and coordinate staff and other meetings.
  • Collate and distribute mail.
  • Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
  • Write and edit documents from letters to reports and instructional documents.
  • Create and maintain filing systems, both electronic and physical.
  • Manage accounts, perform bookkeeping, and handle petty cash.
  • Check email and voicemail to respond to missed messages from clients, employees, or Administrators.
  • After each meeting, use notes to compose meeting minutes, helping participants remember discussions and actions to take moving forward. Check the document for errors before sending it to authorized individuals.
Qualifications

Education and Experience Requirement(s)

High School diploma with commensurate experience providing administrative support in a residential setting required; Associate's degree preferred. Bilingual (Spanish) preferred.
