Summary Operating under the guidance of the Director of Gifted and Talented, this position provides primary administrative, clerical, and operational support to ensure the smooth day-to-day functioning of the department. This position coordinates office operations, manages communications, assists with budget and purchasing processes, maintains department databases and student records, supports meetings and events, and handles specific responsibilities for district Health Services. The role serves as a central point of contact for GT teachers, parents, school staff, and community members, ensuring timely and accurate communication, resource distribution, and logistical coordination. This position works closely with department leadership to support programs, maintain compliance with district and state requirements, and facilitate effective service delivery across schools.   • Gifted and Talented (GT) Department Support
  • Serve as the primary support for the GT Department, overseeing daily workflow, mail, and general office operations.
  • Prepare, coordinate, and distribute department materials,including correspondence, memorandums, assessments, newsletters, bulletins, reports, web pages, and student resources.
  • Respond to phone, email, and in-person inquiries, routing and relaying information to appropriate staff as needed.
  • Manage annual universal screening setup and logistics, including CogAT/NGAT contracting and ordering, collaborating with the Assessment Department to roster students, set user permissions, and troubleshoot during administration.
  • Maintain accurate GT student records, including Advanced Learning Plans in Synergy and Enrich, identified and talent pool tracking, redacting Bodies of Evidence, and ensuring service timelines are met.
  • Manage district subscriptions and student enrichment tools (e.g., Beast Academy).
  • Budget, Purchasing and Financial Support
  • Assist in managing department program and grant budgets.
  • Process purchase orders, purchase card transactions, and petty cash in compliance with district policy.
  • Provide financial data and reports, particularly for grant compliance requirements.
  • Coordinate and process orders for supplies, teacher resources, and curriculum materials for building-level programs.
  • Oversee office supply orders and purchasing for the department.
  • Data Management and Reporting
  • Compile and distribute GT demographic data, testing results, Enrich Advanced Learning Plans, and other targeted GT population reports.
  • Gather, verify, and arrange complex data from multiple sources to ensure accuracy.
  • Input and maintain GT student databases with accurate and timely updates.
  • Meeting and Event Coordination
  • Schedule and coordinate meetings for staff, parents, and students, ensuring timely notification to all participants.
  • Arrange room setups for large inservice meetings, cross-training sessions, and conferences.
  • Nursing Department Services Support
  • Coordinate scheduling and logistics for the District's CPR training program, including initial certifications, renewals, and compliance with legal requirements.
  • Monitor and maintain Automated External Defibrillators (AED) throughout the District, ensuring equipment is operational and properly supplied.
  • Provide administrative support for health services operations, including: Preparing for health assistant and quarterly nursing meetings, tracking mileage for staff, processing travel for conferences (e.g., CASN, diabetes), and ordering and managing health services supplies.
  • Support medical homebound student services by coordinating with schools and providers, processing mileage requests and timecards, and communicating procedures with school staff.
  • Respond to general health services inquiries and route to appropriate staff or resources.
  • Education and Experience Acceptable demonstration of acceptable education and/or experience will be at the sole discretion of the District.
    • High school diploma or equivalent, plus courses in business, office management, bookkeeping, office technology and/or office skills required.
    • Two years' experience in an office management or an administrative assistant position required.
    • Prior school district experience preferred.
    Licenses, Registrations or Certifications
    • Criminal background check required for hire
    • Valid Colorado driver's license or valid Colorado identification required

    • Well-developed writing, organizational, scheduling, report writing and record keeping skills

    • Operating knowledge of and experience with office software such as Google Suite, and Office word processing, spreadsheets, and email
    • Operating knowledge of and experience with typical office equipment, such as phone systems, copier, scanner, fax machine, etc
    • Operating knowledge of student tracking database and website administrative software required within 60 days of hire
    • Operating knowledge of maintenance, supply ordering, and mail systems within 30 days of hire
