Administrative Assistant/Front Office
Reporting to the Accounts Receivable Supervisor, the Receptionist/Front Office position is responsible for handling all incoming and outgoing mail, ensure filing is completed regularly, answer phones and direct calls, scale trucks, handle customer payments and assist the Accounts Receivable Department.
Essential and other important responsibilities and duties may include, but are not limited to, the following:
Assist customers, both internal and external, by answering questions and providing information over the telephone and in person regarding customer accountsCollect and receipt revenues, count drawer, balance cash and checks, prepare bank depositsPost data to various ledgers, register journals and logs according to account and proceduresAccurately weigh trucks in a timely mannerFile large amounts of documents accuratelyCheck and tabulate statistical dataProcess and match customer invoices and statements to mailRun a variety of reports; research and resolve discrepancies related to customers; distribute weekly reportsPerform a variety of general clerical duties including computer data entry, typing, and maintaining files and recordsAssist with office projects and help find customer information for any department in the companyAnswer phones and route calls to the correct recipientsScale trucks (weigh and process)Will be trained to be the backup CourierSpecial projects and/or other related duties as assigned
Knowledge of:
- Principles of customer service
- Basic mathematics
- Modern office methods, practices, procedures and equipment
- 10 key proficiency; good data entry skills
- Computer proficiency including Word, Excel, Outlook
- SAP experience
Ability to:
- Perform procedures in an organized and accurate manner; meet deadlines regularly
- Build and maintain positive working relationships with co-workers and customers
- Operate a computer for a variety of applications
- Communicate effectively with all levels of staff and outside customers
- Work independently with minimal supervision
- Problem solve and research issues
- Take and follow directions to stay on task in a fast-paced environment while maintaining tact and composure
Experience and Training Guidelines:
- One-year customer service experience/exposure
- Two (2) year degree or equivalent experience
Physical and mental requirements:
- Frequent use of keyboard
- Frequent sitting for long periods of time
- Occasional bending or squatting
- Frequent decision-making and concentration
- Frequent exposure to noise
- Frequent reading and close-up work
Working conditions:
Work is performed in a typical temperature-controlled office environment subject to typical office noise and environment.
