  • The Administrative Assistant/Data Coordinator will report directly to the Director of Adult Basic Skills and will manage administrative functions, facilitate communication, and ensure the smooth operation of the ABS Program. This position requires a highly skilled individual with superior computer, communication, and research abilities, coupled with a proven capacity for effective time and data management. Maintaining the highest standards of confidentiality regarding data, student information, and leadership discussions is paramount.

ESSENTIAL FUNCTIONS
  • Prepare confidential correspondence and reports for the Director, including student data for various stakeholders.
  • Manage internal and external email communications with timely and professional responses.
  • Maintain program budgets and procure necessary administrative and instructional materials.
  • Independently manage projects and initiatives with the Director's final approval.
  • Schedule and support the Director's meetings, including agendas, minutes, and document distribution.
  • Support program and staff with time entries, event planning, and professional development participation.
  • Process student data related to intake, test scores, and program completion.
  • Represent the Director and ABS program at local meetings and community outreach events.
  • Assist the Director with evening cohorts and overall ABS program oversight, including:
    • Calendar management
    • Program planning and monitoring
    • Reviewing performance data and contract compliance
    • Compiling and updating ABS data spreadsheets for reporting
    • Managing student attendance data in LACES and attending related trainings.
  • Perform general office duties, including phone management, photocopying, scanning, and faxing.
  • Maintain confidential and professional communication with all stakeholders.
  • Comply with all safety, fire, and smoking regulations.
  • Complete all mandatory compliance and safety training.
  • Perform all other duties as assigned.
  • Minimum Qualifications
  • Bachelor's degree required. Minimum 3 years of secretarial/clerical experience supporting program leadership.
  • Proven ability to anticipate executive needs and provide proactive administrative support.
  • Demonstrated experience in conducting research and presenting findings clearly.
  • Proficiency in Microsoft Office Suite (including spreadsheets), Finance Enterprise, and LACES.
  • Strong understanding of reporting program metrics, trends, and percentile changes.
  • Excellent organizational skills, attention to detail, and customer service orientation.
  • Superior written and verbal communication skills.
  • Valid driver's license and ability to travel occasionally within Camden County.
  • Bilingual skills preferred.
  • Familiarity with GED registration and processes is a plus.
