Support managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material.ESSENTIAL FUNCTIONSEffectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately, delivered with high quality, and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Job Duties include, but are not limited to:
- Contribute to team effort by accomplishing related results as needed
- Handle sensitive information in a confidential manner
- Answer and direct phone calls
- Provide general support to visitors
- Handle multiple projects
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Resolve administrative problems
- Organize and schedule department meetings
- Submit and reconcile expense reports
- Prepare and monitor invoices
- Maintain computer and manual filing systems
- Maintain contact lists
- Assist in the preparation of regularly scheduled reports
- Assist in posting open positions and monitoring incoming applicant responses
- Responsible for verifying and approving time sheets for all salary non-exempt, part time and Federal Work Study employees.
- Maintain supplies inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies; verify receipt of supplies
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Reply to email, telephone, or face to face enquiries
- May be required to fill in for mail clerk when needed
QUALIFICATIONS / REQUIREMENTS
- Christian with high integrity, actively pursuing a relationship with God
- High school diploma or equivalent, required; Bachelor's degree preferred
- Some admin or assistant experience preferred
- Proficient in MS Office (Excel, Outlook, Word)
- Knowledge of office management systems and procedures
- Excellent time management skills, able to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent customer service skills required
- Excellent written and verbal communication skills
- Positive attitude
- Desire and willingness to learn
- Strong organizational and planning skills
- Able to pass background screening, including driving record
- Eligible to work in the United States

WORKING CONDITIONS
- Monday through Friday, 8 am to 4:30 pm
- Office and work-shop environment
PHYSICAL REQUIREMENTS
- Frequently required to sit or stand for periods of time at desk or computer station
- Occasionally required to stand, walk, and reach with hands and arms.
- Able lift and/or move up to 25 pounds.
- Specific vision abilities may include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
