Once a summary page appears, hover your mouse over the orange Action button for a list of possible approval step options.Position Information Position Title Administrative Assistant and Project Manager Status Full Time Job Summary The Administrative Assistant and Project manager for the Graduate Public Health program involves both administrative duties and project management responsibilities, ensuing smooth operations and successful project implementation and execution. The Administrative Assistant/ Project Manager plays a critical role in health outreach projects and reports directly to the Department Head.Essential Job Duties
  • Provides hands-on support in administration, public health research, communications, outreach, and public health education.
  • Coordinate student services - coordination of student practice experiences and documentation of student progress, etc.
  • Supports public administration efforts
  • Assist with planning for project's scope, timeline, schedule, goals, and project deliverables.
  • Managing timelines, schedules and roles of persons engaged in public health projects.
  • Assist with managing budgets, staffing, logistics, and other details of projects and programs.
  • Responsible for communicating with key stakeholders about their roles, deliverables, timelines, etc.
  • Oversee projects from start to finish, or from inception to implementation.
  • Coordinate all activities related to professional, educational and team-based learning, training, research and community-outreach, and provide administrative support and advisement.
  • Contribute to the collection and tracking of student data and program activities through established and newly created databases.
  • Assist in organizing, implementing, and maintaining of comprehensive operational procedures, and demonstrate initiative and good judgment in matters requiring higher-level attention to the faculty or staff with delegated authority.
  • Coordinate and organize conferences and meetings and manage technical duties.
  • Serve as liaison to other CVM offices, university offices, and outside agencies for the professional and technical flow and dissemination of information related to the program, and ensure instructional resources, computer laboratory and systems relative to the needs of the graduate students are available.
  • Receive and assist visitors and refer them to the appropriate persons.
  • Maintain and organize office files, records, and documents (physical & digital).
  • Update department databases with student academic progress and faculty research activities.
  • Prepare reports related to class enrollment, budgets, and faculty evaluations.
  • File and organize departmental documents, meeting minutes, and records for future reference.
  • Take and distribute meeting minutes for faculty meetings, committees, and departmental events.
  • Prepare agendas, take detailed notes, and distribute summaries.
  • Contribute to the collection and tracking of student data and program activities through established and newly created databases.
  • All other duties as assigned
Qualifications (Education, Experience and Specialized Training)
  • Bachelor's degree in education or public health-related discipline.
  • Possess at least two years of experience in student engagement.
Physical Demands
  • Ability to operate standard office equipment
  • Ability to walk short distances
  • Ability to lift and carry parcels, packages and other items
  • Ability to view a computer terminal
Skills and Attributes
