Old Harbor Solutions LLC , a subsidiary of Three Saints Bay, LLC, and a Federal Government Contractor industry leader, is seeking an experienced Contract Specialist III to support our government client.
Responsibilities:
Assist the client in performing administrative/program support functions. Specific tasks and duties (depending on the requirements of an individual Task Order) include, but are not limited to, the following:
Administrative Support
Process requests, reimbursements, and supply management
Coordinate meetings, events, and logistics
Maintain filing systems (physical and digital)
Manage office supplies and inventory
Maintain executive calendars and schedules
Coordinate meetings between directors and senior executives
Schedule resources and conference rooms
Organize logistics for events and workshops
Manage SharePoint sites and shared drives
Maintain various databases and tracking systems
Support records management procedures
Create and update procedural documentation
Develop reports from spreadsheets and databases
Serve as liaison between field offices and senior executives
Support directors, managers, and field staff
Review and vet communications for executives
Maintain confidentiality of sensitive information
Coordinate with government agencies and external partners
Prepare confidential correspondence, reports, and documents
Maintain document tracking systems
Ensure proper formatting and quality of official communications
Serve as Point of Contact for various communication systems
Support controlled document processing and maintenance
Process time and attendance records in Automated Time Attendance and Production System (ATAAPS)
Travel Management
Provide support for CONCUR system and adherence to Federal Travel Regulations
Arrange travel plans, itineraries, and authorizations for personnel
Process vouchers and coordinate travel changes
Handle foreign travel documentation
Prepare travel-related reports
HR Support Functions
Assist with onboarding and offboarding employees
Support hiring processes and associated administrative documentation
Prepare and input personnel actions into corporate HR systems
Maintain centralized local copies of personnel records/information for managers
Provide administrative support for Performance Management activities
These duties require strong organizational skills, attention to detail, proficiency with Microsoft Office applications, excellent communication abilities, and the capacity to work independently while supporting cross-functional teams
Requirements:
US Citizen
Ability to pass a pre-employment background check
Ability to pass Agency Clearance
A minimum of 5 years of administrative assistant experience with executive level management.
