Job Description:
Seeking an Administrative Assistant 3 to support our Minuteman III Propulsions Systems Support Contract (PSSC) program. This position will be served on-site at Hill AFB, Utah.
Responsibilities:
Performs reception duties at entrance to Hill AFB office; welcomes visitors, keeps visitor log sheet, maintains badging, etc
Initiator of all government access forms, maintaining standards to ensure forms are filled out properly and follow the government process
Proactively manage calendars for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts
Support reporting and presentation requirements. Collect and summarize data, prepare draft documents, plan and schedule reviews, and facilitate complete and timely submissions
Make domestic travel arrangements and process expense reports in a timely manner for assigned staff
Attend staff meetings, publish agendas and follow-up on action items
Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations and catering
Helps maintain program tasks in the Jira platform and digital files on Microsoft Teams
Provides secretary duties for our Configuration Control Board (CCB)
Orders and maintains office supplies
Basic Qualifications for Administrative Assistant 3:
High School diploma or equivalent and a minimum of 4 years professional experience as an Administrative Assistant or performing administrative work
Proficient in MS Office Suite (Word, Excel, Outlook and PowerPoint)
Ability to obtain and maintain a DoD Secret Security Clearance within a reasonable period of time as determined by the needs of the business
Preferred Qualifications:
Strong interpersonal, communication and organizational skills
Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
Strong ability to multi-task with competing priorities in a positive manner
Experience in planning, coordinating and overseeing catering for corporate meetings
Strong proofreading and document preparation skills
Ability to exercise good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
Demonstrates outstanding verbal, interpersonal and written communication skills
Familiarity with policies and procedures
