We're looking for a highly organized and detail-oriented Ad Operations Coordinator to join our Client Services team. In this role, you'll help ensure the successful onboarding and support of our clients, while coordinating internally to keep campaigns and operations running smoothly. You'll play a key part in managing the flow of information and deliverables between internal teams, clients, and partners. Success in this position looks like maintaining exceptional client relationships, supporting seamless campaign execution, and optimizing our internal systems and processes. This role is essential to the operational heartbeat of our agency.
Responsibilities
Client & Campaign Support
- Support new client onboarding, ensuring all documentation is accurate and complete
- Coordinate across internal teams to set up and maintain client accounts in FreeWheel
- Maintain detailed client records and provide ongoing administrative and technical support
- Build and sustain strong client relationships through responsive and thoughtful communication
Campaign Management
- Collaborate with Account Management, Media Services, and Product teams on campaign execution
- Participate in client meetings, input sessions, and planning discussions
- Assist in developing strategic presentations, proposals, and reporting deliverables
- Manage trafficking, launch, and pacing workflows in coordination with Product
- Monitor campaign pacing, KPIs, and trends across digital media channels including web, social, OTT, and more
- Assist in budget tracking, invoicing, and client purchase order management
Internal Operations & Tools
- Manage the structure and workflows within our CRM/Trafficking (FreeWheel)
- Organize and optimize our project management (Asana), internal communications (Slack), and shared file systems (Google Drive, Dropbox)
- Help build and refine internal processes that support company-wide operations
Qualifications
- Bachelor's degree in Marketing, Communications, Business, or related field
- 1+ years of experience (internship or professional) in a digital/traditional agency or similar setting
- Familiarity with client management, project coordination, and media campaigns
- Proficient in Google Suite (Docs, Sheets, Slides, Drive) and comfortable in a Mac environment
- Understanding of media planning and campaign performance reporting
- Highly organized with strong attention to detail and time management skills
- Excellent verbal and written communication skills
- Team-oriented with a collaborative spirit
Preferred Qualifications
- 1–3 years of experience in paid media across digital, traditional, and social channels
- Prior client-facing or administrative experience
- Experience or exposure to platforms like FreeWheel, The Trade Desk, DV360, Facebook Ads Manager, or Google Ads
