Job Description:Job Summary: Performs clerical tasks and functions to support ACT (Assertive Community Treatment) or ACT TAY (Transitional Aged Youth) treatment team. Responsible for tracking benefits of clients IE Medicaid status, number of services provided, answer phone and email messages and other duties as assigned.Essential Job Functions:
  • Answer all incoming calls, disburse phone calls to appropriate staff members, and communicate effectively with all staff within clinic.
  • Screen all client contacts for crisis, then prioritize and route to appropriate clinical staff.
  • Scheduling and cancelling client appointments accurately on a daily basis. This includes entering the correct disposition for cancellation of appointments.
  • Verifying demographic information, each time client's check-in for their appointment; including address, phone number, and insurance.

  • Assist with daily team meetings by taking notes and dispersing staff to appropriate client appointments.
  • Perform all clerical tasks related to functioning of the office includes filing/imaging, reports, activity logs, and any other correspondence; preparing outgoing mail; preparing interoffice mail; and maintenance of supplies/forms.
  • Responsible for quarterly safety drills, inspections, inventories, etc., to meet CARF safety requirements.
  • Perform verifications of benefits, track manage care visits, and monitor prior authorizations for Medicaid, when needed for Outpatient visits.
  • Process Requests of Information (ROI), enter into database, and maintain HIPAA compliance.
  • Is sensitive and responsible to management needs, such as data collection, program evaluation, development of grant applications, maintenance of various contracts for services, etc.
Knowledge, Skills, and Abilities:
  • Ability to communicate effectively before groups of residents, employees of the organization, family members and other contacts in the community.
  • Ability to write routine reports and correspondence.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Shall be able to establish effective relationships via telephone and personal contacts.
  • Shall be able to follow direction and accept supervision. Must be able to work with individuals with a diverse background, and co-occurring disorders.
Experience and Education Qualifications:
  • Possession of at least a high school diploma or GED experience in office is preferred but not required.
Supervisory Requirements:
  • None.
Employment Requirements:
  • Successful completion of background check including criminal record, driving record, abuse/neglect and fingerprint check.
  • Completion of New Hire Orientation at the beginning of employment.
  • All training requirements including Relias at the beginning of employment and annually thereafter.
  • Current driver's license, acceptable driving record and current auto insurance.
