POSITION SUMMARY Under the direction of the Director of Accounting, the Accounts Payable Specialist provides essential support to the organization's finance and business operations. This role is responsible for reviewing, reconciling, and processing all accounts payable activities accurately and in a timely manner. The position involves frequent interaction with YMCA Directors across all departments and requires providing clear and accurate responses to internal and external inquiries. DUTIES & RESPONSIBILITIES
  • Perform activities within the accounts payable function: 2 and 3 way matching process, enter invoices into the accounting software using correct allocation codes.
  • Prepare and complete check payments and ACH transaction processing, ensuring proper backup documentation and approval in accordance with department policies.
  • Reconcile accounts payable related accounts; prepare and submit journal entry requests to supervisor for adjustment to the general ledger.
  • Reconcile vendor accounts monthly. Research and resolve any outstanding balances.
  • Reconcile, print and submit year-end forms 1099.
  • Monitor credit card purchases, ensure proper documentation and GL coding.
  • Accurate monthly reconciliation of the credit card statements to the general ledger.
  • Reconcile the prepaid and accrued expense accounts.
  • Preparation of checks/receipts for deposit.
  • Respond to internal and external customer inquiries in a professional and timely manner.
  • Ensure timely filing, scanning, or photocopying of all accounts payable documentation.
  • Maintain accuracy and confidentiality in all financial documentation and communications.
  • Perform various departmental tasks in support of co-workers as workload and staffing levels dictate.
QualificationsJOB REQUIREMENTS:
  • Three or more years of experience in accounts payable processing in a corporate or non-profit environment.
  • Associate's degree or equivalent, bachelor's degree preferred
  • Experience in accounts payable or related financial operations preferred.
  • Strong attention to detail and organizational skills.
  • Ability to prioritize and manage multiple tasks while meeting deadlines.
  • Proficient in using financial systems and Microsoft Office applications.
  • Strong verbal and written communication skills.
  • Excellent analytical and problem-solving skills.
  • Ability to maintain confidentiality and work collaboratively with employees at all organizational levels.
