Job Summary: The Accounts Payable Specialist will be responsible for the processing of invoices and expense reports; must be detail-oriented who works toward improving processes and thriving in a fast-paced environment.This position is a full time opportunity that is mostly remote with twice a month in our NYC Office. Accounts Payable Specialist Responsibilities
  • Data entry of invoices, vendor information, and account coding.
  • Oversee and train staff on all Accounts Payable processes and workflow.
  • Audit invoices and expense reports for accuracy and proper approval support.
  • Compile monthly accruals and assist with the month-end closing.
  • Reconcile accounts payable aging and general ledger with other applicable records (e.g., subsidiary vendors' ledger).
  • Perform reconciliation of balance sheet accounts monthly.
  • Make payments for vendor invoices on their online portals.
  • Run AP payment cycles and maintain related payment registers and bank issue files.
  • Reconcile vendor statements and trouble-shoot vendor inquiries.
  • Research outstanding checks and other payment types for verification.
  • Assist with 1099 reporting and W-9 filing for suppliers.
  • Assist with audit inquiries and gathering supporting documentation.
  • Other duties as assigned by supervisor on an as needed basis.
Accounts Payable Specialist Qualifications
  • Bachelor's degree in accounting or business administration, with three years of diversified experience in an accounting department or three to five years of experience in an Accounts Payable Department.
  • Excellent verbal and written communication skills.
  • Proficient in Accounts Payable software and Microsoft Office Suite or related software.
  • Ability to prioritize and multi-task in a fast-paced environment.
  • Good organization and analytical skills; and is detailed oriented.
  • Shows initiative to improve processes and staff workflow.
  • Ability to work as a team player.
  • Working knowledge of HIPAA & OSHA compliance
Travel: While primarily a remote position, employee is required to go in office as needed to perform responsibilities and to attend regular corporate in office days.
