Accounting AssistantAbout Mobile Loaves & FishesMobile Loaves & Fishes (MLF) is a social outreach ministry that has been empowering communities into a lifestyle of service with the homeless since 1998. Founded in Austin, Texas, the organization serves its homeless neighbors through three core programs: Truck Ministry, Community First! Village, and Community Works. Often referred to as the most talked about neighborhood in Austin, Community First! Village is a 51-acre master planned development that provides affordable, permanent housing and a supportive community for men and women coming out of chronic homelessness. We are now embarking on a new phase of community expansion, adding more than 1400 new neighbors over the next 5-10 years.About the RoleThe Accounting Assistant plays a key administrative role in supporting the Accounting team and the day-to-day financial operations of Mobile Loaves & Fishes. Responsibilities include assisting with accounts payable, maintaining accurate financial records in accordance with audit requirements, and managing office tasks such as coordinating couriers, ordering supplies, formatting documents, and organizing team events. The role also serves as a welcoming point of contact for neighbors-formerly homeless individuals now living at Community First! Village-helping direct them to the appropriate team member for assistance, while reflecting MLF's mission with hospitality and care.This is a full-time, non-exempt position reporting to the Accounting Manager. Due to the nature and requirements of the position, hours are flexible to fit need, but typically include 8am-5pm Monday-Friday. Some nights and weekends may be required. The Accounting Assistant will office at Community First! Village located at 9301 Hog Eye Road, Austin, TX 78724.Duties & Responsibilities
  • Assist in reporting and daily accounting processes including accounts payable process, entering invoices to AP system, balance sheet accounts reconciliation, journal entries, and documentation
  • Assist in the month-end close process and audit activities
  • Participate in bookkeeping and accounting information gathering and research
  • Support the accounting team on special projects including workflow process improvements
  • Assist in check deposit to Bank, and DMV registration
  • Assist in providing support on corporate credit card entries
  • Assist in maintaining all required documents to set up new vendor accounts including, W-9, construction insurance COI, tax exemption form, etc.
  • Maintain accounting documentation and organize Accounting Team filing system in compliance with audit requirement
  • Maintain calendar invite for team meetings, audit schedule, report deadlines and reminders
  • Maintain up-to-date tracking logs for vendor certifications of insurance policy and documentation
  • Handle annual compliance of online government registration and survey reporting
  • Assist in preparing monthly / quarterly compliance reports and annual renewal of property insurance
  • Provide administrative support to the Accounting Team of ten, including organizing the office, coordinating couriers, ordering supplies and other administrative needs
  • Serve as a point of contact for neighbors visiting the Accounting office, assisting with initial questions and directing them to the appropriate team or department for further support
  • Other Duties & Responsibilities as needed
Knowledge, Skills, Abilities & Principles

  • Commitment to serving those who have experienced homelessness and personal alignment with MLF's vision, mission, core values, and goals.
  • Bachelor's or Associate's degree in Accounting, Business Administration, or Communications
  • 2 years' experience in bookkeeping and/or administrative support
  • Experience working within an accounting software system - QuickBooks or Sage Intacct preferred
  • Excellent organizational skills
  • Excellent verbal and written communication skills
  • Strongly analytical, attention to detail, with creative problem-solving skills
  • Able to effectively work both independently and as part of a team
  • Basic knowledge of Microsoft Excel and Word, Power Point, and Microsoft 365
  • Must have a valid driver's license
Work Environment & Physical Demands
