Bismarck State College is seeking a highly motivated Academic Records Specialist to support the integrity and accuracy of student academic records. This position plays a vital role in coordinating grading functions, evaluating transcripts, managing academic calendars, and ensuring that students receive the credit they've earned-whether through traditional coursework or alternative pathways. Key Responsibilities:General Academic Records
  • Coordinate and oversee grading operations, including final grades, grade changes, incompletes, course repeats, President's Honor Roll, and academic standing.
  • Manage student and administrative actions related to drops, full withdrawals, and appeals.
  • Conduct pre-audits of student degree applications to assess academic progress.
  • Develop and maintain detailed business processes and operational calendars for all assigned duties.
  • Implement Academic Forgiveness policies within CampusConnection.
  • Create and maintain institutional academic calendars and semester session dates.
  • Provide expert guidance to students, faculty, and staff regarding academic records policies and procedures.
  • Participate in departmental cross-training to support continuity and efficiency.
Transfer and Non-Traditional Credit Evaluation
  • Evaluate and articulate transfer credits from other institutions, including military training and coursework.
  • Manage the review and application of alternative learning credits (e.g., CLEP, AP, DSST), ensuring compliance with institutional standards and policies.
  • Work closely with advisors and academic departments to ensure accurate application of credits toward degree requirements.
Miscellaneous Duties
  • Uphold strict confidentiality in accordance with FERPA regulations.
  • Participate in institutional ceremonies such as Commencement.
  • Contribute ideas and improvements to streamline academic records operations.
  • Perform additional duties as assigned.
Minimum Requirements
  • Appropriate bachelor's degree.
  • Strong organizational skills, with the ability to multitask and work under pressure to meet deadlines.
  • Ability to communicate well with a variety of people.
  • Ability to analyze data and draw conclusions.
  • Ability to show flexibility in response to change and adapt to and accommodate new methods and procedures.
  • Proficient computer skills using the Microsoft Suite for Office Applications (Word, Excel, Access), and Outlook.
  • Excellent interpersonal and written communication skills.
Preferred Qualifications
  • Experience in a comparable position in higher education.
  • Experience in and understanding of PeopleSoft software.
  • Experience using electronic imaging systems.
