Job Summary: We are seeking an ABA Executive Operational Coordinator to manage the client onboarding and authorization pipeline, ensuring families receive timely support from the initial inquiry through ongoing services. The function will handle inbound calls and respond to all inquiries; receive, review and manage client documentation, liaise with insurance providers and billing companies, follow up on client authorizations, monitor and streamline the client approval process, coordinate with internal teams to initiate and deliver services, and keep families informed throughout the treatment cycle. The ideal candidate is personable, empathetic, highly organized, and capable of managing multiple moving parts efficiently. A strong understanding of navigating regulated healthcare processes, insurance authorizations, client intake, and service coordination in health settings is essential. Key Responsibilities: Client Intake & Onboarding: - Respond to and guide all prospective client inquiries, offering clear guidance and overseeing service initiation. - Collect, file, and verify required intake documents, insurance information, and any eligibility details. - Coordinate initial assessments and scheduling with remote clinical teams.Authorization & Pipeline Management: - Proactively manage a high volume of intakes and authorizations to minimize approval delays. - Maintain accurate records of client status within the intake pipeline, proactively addressing delays. - Communicate with insurance providers and advocate for timely approvals. Client Communication & Support: - Be the primary liaison for families, providing regular updates and guidance throughout intake and authorization. - Provide empathetic and solutions-oriented support to families navigating ABA services. - Address client concerns with professionalism and escalate issues when necessary. Coordination & Process Improvement: - Identify and implement workflow improvements to reduce service initiation time. - Work closely with clinical and administrative teams to streamline processes and minimize service delays. - Ensure compliance with HIPAA and other healthcare regulations. Minimum Qualifications: - 3-5 years of client-facing experience, healthcare coordination, or a similar function in healthcare services. - Proven experience with intake management and insurance authorization processes. - Exceptional organizational skills and ability to manage high-volume tasks with accuracy. - Excellent communication skills-both verbal and written-with a warm, professional demeanor. - Ability to multitask, prioritize, and adapt in a fast-paced and evolving environment. - Tech-savvy with experience using CRM systems, EMR platforms, or intake tracking software. Preferred Qualifications: - Experience working directly with families receiving ABA or behavioral health services. - Familiarity with billing and insurance verification processes, particularly for ABA services. - Bilingual (Spanish or other languages) is a plus, but not required. - Verifiable references from past employers.
