THIS IS NOT A REMOTE POSITION*** Job Purpose: To assist in the operations of the daily production schedule by setting the schedule to optimize productivity and logistics, preparing paperwork, communicating with the production team and providing updates with homeowners. Duties:

  • Provides outstanding customer service to homeowners; Communicate issues regarding the schedule, installation crews, and payment charges.
  • Maintains strict confidentiality of financial and sensitive information; contact customers to collect payments on the day of their completed installation or service
  • Resolve product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution.
  • Ensure a smooth running and logistically sound installation schedule by making adjustments to the installation crews and technicians daily run.
  • Maintain a strong interpersonal connection with our installation crews, project managers, and homeowners by continuous communication.
  • Maintain accurate records on our CRM by keeping detailed notes from every conversation with customers, and resulting installation, service, and remeasure appointments
  • Organize proper paperwork for previous day's appointments including chargebacks, service contracts, and remeasure sheets and for the installation crews, Project Managers, Master Techs, and Service Techs for the following day.
  • Communicate with the proper departments, such as sales, purchasing, and accounting regarding issues related to homeowners installation.
  • Strategize methods to mitigate job site issues; coordinate with the Project Manager's if any job related issues arise and assist in scheduling them onsite immediately.

  • Multi-tasking: A Production Coordinator must be able to successfully juggle many tasks at the same time.
  • Time Management: Since a Production Coordinator handles many tasks at once, it is important for them to be able to manage time effectively. Production Coordinators must be able to complete their tasks on time and ensure that they meet the expectations of the customer.
  • Driven/Self-Motivated: A Production Coordinator should be internally driven to reach the desired result of each project. They will take initiative to see to it that all projects are completed successfully, without being prompted.
  • Communication: Strong verbal and written communication skills are needed to speak with customers, subcontractors, and other departments within the company.
  • Problem Solving: On a daily basis, Production Coordinators will be expected to make quick decisions and create a strategic plan on how to tackle issues that arise.
  • Organization: Since Production Coordinators often have to manage multiple projects at once, organizational skills are imperative to keep track of all responsibilities.
  • Fast Paced: A Production Coordinator will thrive under high performance and fast paced work environments.
Skills/Qualifications:
  • Three years of auditing, logistics, or administrative experience required
  • Bachelor's degree in business, communications, or related field preferred
  • Strong communication, both written and verbal
  • Great active listening skills
  • Strong ability to make decisions
  • Exceptional attention to detail and analytical skills
  • A patient and empathetic attitude
  • Strong time management and organizational skills
  • Computer literacy (Google - Gmail, Google Docs, and Google Sheets)
