Position Description Oversees administrative operations for the Director of Student Teaching and Field Experiences and the Chair of Counseling Psychology. Applies knowledge of university systems, programs, operations, and administrative and fiscal policies and procedures to the administration of the departmental functions. Supports the Director and Chair in their administrative responsibilities. The position requires a high level of professionalism and accuracy and organization including office management. Position Responsibilities Position Responsibilities-Reporting to the Director of Student Teaching and Field Experience (12 hours/week) 1. Document Collection & Management: a. Collect and organize required paperwork from students participating in the student teaching program. b. Track and follow up with students to ensure timely submission of all required documentation throughout their placement. 2. Independent Contractor Support: a. Assist in the preparation and collection of paperwork for independent contractors working with the program. b. Ensure all contractor documentation is completed, submitted, and stored according to institutional policies. 3. PHEAA Stipend Support: a. Support the PHEAA stipend process by gathering necessary student information and ensuring accurate and timely submissions. b. Maintain organized records related to stipend applications and distribution. 4. Administrative Assistance: a. Assist in reviewing class lists to confirm accurate enrollment and placement data for student teachers. b. Provide general clerical support to the program, including data entry, filing, and responding to routine inquiries. Position Responsibilities-Reporting to the Chair Counseling Psychology (4 hours/week) 1. Maintain up-to-date student records, including program enrollment, and licensure tracking spreadsheets 2. Support the coordination of orientation sessions, workshops, and seminars. 3. Prepare draft documents, presentations, and reports 4. Assist with editing of program handbooks, policies, and online resource repositories including reorganization of the department Google Drive 5. Assist with the collection and compilation of syllabi, faculty CVs, and other compliance documents 6. Assist with student inquiries regarding program requirements, forms, and deadlines. 7. Manage confidential files in compliance with FERPA and university policies. 8. Provide general administrative support to the Chair Other Responsibilities: 1. Complete other duties as needed. 2. - Bachelor's degree, with administrative experience.
- Skill in monitoring/assessing the performance of self, other individuals, and systems to make improvements or take corrective action.
- Ability to develop and maintain databases and spreadsheets
- Skill in collecting and analyzing complex data.
- Proficient IT skills, including Microsoft Office and Google Suites
- Effective problem-solving skills and strong attention to detail
