Position Type: Secretarial/Clerical/Office Assistant (Automated Systems) Date Posted: 9/16/2025 Location: Central Office Date Available: 10/01/2025 Closing Date: 10/30/2025 Ardsley School District is seeking a 12 month Office Assistant (Automated Systems) in the Central Office effective October 1, 2025.GENERAL JOB DESCRIPTION: Front Desk Reception:
- Serve as the first point of contact for visitors, staff, students and community members
- Greet and assist all visitors in a professional and courteous manner
- Answer and direct incoming phone calls, take messages and provide information as needed
- Monitor visitor sign-in procedures and ensure building security protocols are followed
Mail Coordination:
- Sort, distribute and process all incoming and outgoing district mail and packages
- Coordinate with postal and delivery services to ensure timely and accurate delivery
District Registrar:
- Manage student enrollment and withdrawal processes in accordance to district policies
- Maintain accurate student records and ensure compliance with FERPA and other confidentiality regulations
- Collaborate with schools to ensure proper transfer and documentation of student information
- Assist with residency verification and documentation
Free and Reduced Meal Program:
- Distribute, collect and review free and reduced meal applications
- Verify eligibility in accordance with federal and state guidelines
- Input and update student eligibility information in the student information system and/or nutrition system
- Prepare required reports and submit data to state and federal agencies as needed
Human Resources/Civil Service:
- Assist Human Resources with new employee packets, personnel files, background checks, filing
- Maintain accurate and confidential records
- Prepare, process and submit all required civil service forms, reports and applications
- Coordinate with Human Resources and Payroll to collect and verify necessary information for civil service reports
Miscellaneous:
- Assist the District Clerk with board appointment letters
- Assist with lane movement paperwork
- Other tasks as assigned
QUALIFICATIONS:
- Must meet Civil Service requirements
- Experience working in a public school setting preferred
- Exceptional organizational and time management skills
- Excellent written and verbal communication
- High attention to detail and accuracy
- Knowledge of WinCap and eSchool Data a plus
- Willingness to learn new technology
- NYS Fingerprints required
