Job Description Summary The Program Administrative Specialist works in the Adele H. Stamp Student Union (Stamp) at the University of Maryland to support program and service deliver. The three primary areas of work are program management, office administration, and and financial assistance. Program Management (University Awards Program, Pepsi Enhancement Fund, & Terps After Dark): --Collaborates to design computer program processes and create documentation for how the processes work. --Update systems processes and websites. Test and update web-based programs to ensure web pages are functional and the content is accurate. --Monitors program implementation and administration from start-up to finish. Works with end-users to address usability and accessibility of web-based programs. Investigates and resolves any technical issues or problems communicated by end-users. Sets meetings with technology staff to review, specify, and enhance all aspects of both new and recurring web-based applications. --Draft and edit external and internal program related communications (emails, memos, letters, newsletters), including the official University Awards Program booklet and media ads. --Informs recipients of Pepsi grant awards. --Generates various reports and spreadsheets from program databases in suitable formats for decision-making. --Assures integrity of databases and confidentiality of data. --Collaborates across departments and functional areas, serves as on-site liaison, and arranges logistics to achieve success of the Annual University Awards Banquet. Office Administration: --Coordinates and provides administrative support for the Associate Director, Assistant Directors of Strat Comm team to include the managers of the centers (Chapel, Studio A/Gallery, TerpZone). --Manages office resources, maximizes the use of technology, and implements efforts to achieve Stamp sustainability goals. --Provide administrative support to various areas to include but not limited to: updated various websites, coordinating contracts, class schedules, answering emails/phone calls, coordinate meetings. --Will use Canva for work with Marketing team and various projects. --Other duties as assigned. Financial Assistance: --Assists in the day-to-day management of the office budget and expenditures and reviews and reconciles budget summaries. --Support areas in terms of coordinating purchases, processing invoices, liaison to Business Office. --Notifies student groups and departments of Pepsi funding awards and secures internal and external services and purchases for their programming events in accordance with the University's procedures and policies. PHYSICAL DEMANDS: Work takes place in both an office environment and in on-campus buildings; will require ability to travel throughout campus. There may be occasions when the incumbent will need to work outside their normal work shift to accommodate other shifts that exist in the organization for purposes of meetings, training, etc. PREFERRED QUALIFICATIONS: Experience in higher education, student affairs, or related field. Knowledge and use of Canva and Google Suite products preferred. Minimum Qualifications Bachelors degree and Four years experience in administrative staff work. Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities. Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
