Mailroom Clerk ROLE We need an experienced Administrative Support professional to serve as a Mailroom Clerk at the U.S. Trade and Development Agency (USTDA). USTDA helps advance overseas infrastructure projects that create opportunities for U.S. exports while supporting jobs at home. In this role, you will provide full mailroom and workroom support by reviewing, processing, and distributing incoming and outgoing mail and packages, maintaining correspondence logs, and ensuring agency copier areas are stocked and organized. You will coordinate with staff to resolve discrepancies, manage courier and delivery services, and support the overall organization and efficiency of USTDA's mail and document handling operations. RESPONSIBILITIES - Review, process, and log all incoming unclassified mail and packages, verifying attachments and notifying staff of discrepancies
- Distribute mail, packages, faxes, and electronic documents in accordance with USTDA correspondence guidelines
- Check and manage the Agency's general email accounts daily, routing correspondence to appropriate staff
- Collect outgoing mail and express delivery pouches, delivering to post offices, courier services, or other off-site locations as required
- Prepare and ship packages via commercial delivery vendors, ensuring compliance with Agency procedures
- Maintain a well-organized, well-stocked mailroom and ensure copier/workroom areas throughout the Agency are neat and supplied with paper, forms, and office materials
- Notify the Office of Administration when supplies are low or when mailroom/copier equipment requires servicing
- Support the Agency's overall document flow processes by ensuring timely and accurate handling of mail and correspondence
REQUIRED SKILLS/EXPERIENCE - 1-3 years of experience collecting, sorting, and distributing incoming mail
- Ability to maintain records of receipt, mailing dates, and other required information
- Ability to ensure appropriate mailing and/or shipping of packages, letters, etc.
- Experience providing general office support like various administrative tasks, data entry, filing, and customer service
- Ability to manage multiple tasks and prioritize effectively
- Effective written and verbal communication skills for interacting with various individuals
- Proficiency in office software and equipment
- Physical ability to move large number of files and/or file boxes
REQUIRED EDUCATION / CERTIFICATIONS - High School diploma - required
- Undergraduate degree - preferred
LOCATION CLEARANCE - US Citizenship
- Ability to obtain and retain a SECRET security clearance

TRAVEL WORK HOURS - Full time = 40 hours a week, 8 hours a day
