This is a clerical support position for the Healthy Families program. The incumbent is required to prioritizes work daily and must meet time sensitive deadlines.

Responsibilities include:

  • Maintaining information for the program's databases and various client tracking systems including the Electronic Health Record in HMS and the Healthy Families Florida (HFF) database.
  • Registering new clients in the Electronic Health Record and HFF databases, scanning and importing documents into the Electronic Health Record.
  • Maintaining standards and applicable regulations for personnel, electronic medical records management, and programmatic/funder requirements.
  • Producing HFF and other database reports for the Healthy Families office.
  • Producing labels for documents that get scanned into the Electronic Health Record.
  • Ensuring that all rules and regulations are followed regarding Purchase Orders and AOD purchases. Maintaining accurate records and inventory of all purchases.
  • Completing authorizations for travel the month prior to travel taking place and reviewing mileage reimbursements submissions.

Required knowledge, skills, and abilities include:

  • Knowledge and ability to use the copy/scanning machine to input forms, and documents into the client electronic health record in HMS.
  • Knowledge of general office procedure and practices.
  • Skill in typing.
  • Ability to operate word processing equipment.
  • Ability to use correct spelling, punctuation, grammar, and format to produce letters and memos, and other standard business documents.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to establish and maintain effective working relationships with others.

Qualifications: Minimum

  • 1 year experience working in a professional clerical/administrative role.
  • 1 year experience using various professional computer programs including e-mail, the Internet, and Microsoft Office.
  • 1 year experience in answering phones in a business setting.

Preferred

  • Experience using Health Management System.
  • Bilingual with written and spoken fluency in English and Spanish.
  • Healthy Families program experience.
