Job Description POSITION TITLE: Administrative Assistant I DEPARTMENT: Economic & Business Development REPORTS TO: Director of the NOWI LOCATION: New Bedford, MA POSITION STATUS: This is a full-time, state funded, AFSCME, unit-classified position with benefits. AFSCME Unit I, Grade 15, Step 1 SALARY: $53,792.70 annually STATEMENT OF DUTIES The Front Desk Manager supports daily operations at the training facility, with a focus on creating a welcoming environment, assisting with classroom setup, and coordinating logistics for workforce development and technical courses. This role ensures smooth communication between guests, instructors, students, and visitors while maintaining customer service-oriented support. This individual provides administrative support for the Director of the National Offshore Wind Institute (NOWI) at Bristol Community College. Essential Functions, Duties, And Responsibilities
- Greet and check in all visitors, trainees, and guest instructors
- Manage daily sign-in sheets and verify training rosters
- Assist staff and instructors with classroom and conference room setup (materials, A/V, handouts)
- Answer phone calls and direct inquiries appropriately
- Support the tracking and restock basic supplies in coordination with the training team and the Director (forms, PPE, course materials, other supplies)
- Maintain tidy and organized front desk and shared areas
- Schedule rooms and support logistics for training sessions and meetings
- Monitor visitor compliance with basic safety and sign-in procedures
- Report any facility or equipment issues to the Director and training team
- Create and submit tickets for issues related to media/IT services and basic facilities needs
- Support coordination visitors and guests alongside routine vendor support
- Supports students with access to course information, credential records/transcripts and general customer service
- Administrative support for creating course rosters, course set-up, management and close-out in the course management system and the college student information system (Banner and CourseStorm)
- Supports purchasing and invoicing under the discretion of the Director
Requirements REQUIRED QUALIFICATIONS Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below. Substitutions I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.* II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
- Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Preferred Qualifications
- High school diploma or equivalent required
- Associate's degree preferred
- At least 1-2 years experience in an administrative or customer service role
- Strong communication and organizational skills
- Comfortable using email, basic spreadsheets, and scheduling tools
- Friendly, professional, and attentive to detail in a fast-paced setting
- Bilingual a plus; interest in safety or technical training environments preferred
