Job Summary: This position is responsible for providing administrative and clerical support to one or more members of management and the department.
Qualifications:
- High school diploma. Associate degree or the equivalent of two years coursework from an accredited college or university preferred.
Experience:
3-5 years verifiable paid clerical/secretarial experience. Experience working in a fast-paced environment supporting one or more executives. Basic to intermediate level Microsoft Office (70% pass score) and customer service training at 70%. Operating job-related equipment. Technical Expertise:
Read, understand, and communicate information and ideas presented in writing. Use mathematics to solve problems. Administrative and clerical procedures and systems such as word processing, managing files and records, preparing meeting minutes, designing forms, and other office procedures and terminology. General principles and objectives of information technology systems and programs. Proper spelling, grammar, punctuation, and sentence structure to ensure that written materials prepared and reviewed are complete, succinct, and free of errors. Experience in a public library or public-sector is preferred. Intermediate proficiency in MS Office or similar software is required. Relevant business equipment including the use of basic computer programs and systems. Essential Duties and Responsibilities:
Evaluation of this position is based primarily on performance of the following essential functions, which include, but are not limited to:
Perform routine and complex administrative duties related to confidential and sensitive communications and materials. Assist in the preparation and maintenance of schedules for the administrative area. Prepare and distribute public relations information and provide programming and outreach support including serving as the primary contact with the public and as liaison with other agencies. Act as office receptionist; answering telephones, handling incoming mail, and responding to all levels of staff and the public providing information and assistance. Use word-processing, database, and spreadsheet software in the course of assigned duties. Gather information, compile reports, maintain office records/forms and filing system. Prepare a variety of materials such as interoffice communications, correspondence, requisitions, presentations, forms, statistics, and reports. Order materials, supplies, and equipment upon approval. Maintain records of purchase orders and invoices for budgeting process. Contact vendors as needed. Maintain accurate and detailed calendar of events, schedule meetings, prepare meeting materials, and make reservations including booking rooms, equipment, and vehicles. Assist with events and programs as assigned. Operate standard office equipment including a computer, fax machine, copier, printer, and other related equipment.
