Position Type: Support Staff - District Based Date Posted: 9/11/2025 Location: District Office Closing Date: UNTIL FILLED Position Title: District Office Receptionist / Administrative Assistant Department: District Office Reports To: Human Resources FLSA Status: Non-Exempt Position Summary The Front Office Receptionist/Administrative Assistant serves as the first point of contact for the Roosevelt School District. This position provides high-quality customer service to staff, families, and the community, while performing a variety of administrative and clerical duties to support the District Office, Superintendent's Office, and Human Resources. The role requires professionalism, confidentiality, and the ability to triage and prioritize in a busy office environment. Essential Duties and Responsibilities
- Greet and welcome the public, staff, and visitors to the District Office in a professional and courteous manner.
- Screen visitors, conduct background checks, and process fingerprinting as required by District policies.
- Manage badging processes for employees, contractors, and visitors.
- Answer, screen and route phone calls to appropriate staff, respond to inquiries, and schedule appointments along with providing accurate information to caller.
- Provide translation/interpretation support for families and staff as needed.
- Handle customer service matters, including addressing complaints and resolving concerns or directing them appropriately.
- Provide clerical support to the Superintendent's Office, including scheduling, filing, and document preparation.
- Conduct research and prepare reports, correspondence, and other materials as assigned.
- Assist the Human Resources department with HR duties, such as filing, data entry, and processing forms.
- Help with HR events such as trainings, employee engagement activities, and recognition programs
- Support compliance efforts by ensuring proper documentation is collected and maintained.
- Support benefits administration by distributing materials, assisting with enrollment, and answering general employee questions
- Assist with scheduling interviews and coordinating recruitment activities
- Assign access cards for internal employees and visitor badges for external guests
- Receive, scan, and distribute daily mail
- Maintain a clean reception area and keep conference rooms prepared for meetings.
- Serve as support to HR Analysts by assisting with document preparation, data entry, and general administrative tasks related to personnel services.
- Participate in HR Cross Training opportunities
- Perform general office tasks such as copying, scanning, filing, ordering supplies, and maintaining office equipment.
- Maintain confidentiality of sensitive and personnel-related information.
- Other duties as assigned.
Knowledge, Skills, and Abilities
- Strong interpersonal skills with the ability to interact effectively with diverse populations.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment.
- Ability to prioritize tasks, manage multiple responsibilities, and work independently in a fast-paced environment.
- Bilingual skills preferred (English/Spanish).
- Knowledge of basic HR processes is desirable.
Minimum Qualifications
- High school diploma or equivalent required; associate degree preferred.
- At least two years of clerical, reception, or administrative experience; school district or public sector experience preferred.
- Fingerprint clearance card required (or ability to obtain upon hire).
Working Conditions
- Standard office environment with frequent interaction with the public.
- Occasional evening or weekend hours may be required for District events.
