About the Role
We are seeking a proactive and detail-oriented Administrative Assistant to support executives and their teams across the organization. This is a dynamic, in-office role that blends administrative excellence with project coordination, communication, and cross-functional collaboration. You'll play a key role in maintaining productivity, managing schedules, and supporting strategic initiatives—all while upholding the highest standards of professionalism and confidentiality.
Schedule: Monday–Friday, 8:00 AM–5:00 PM | Occasional evenings/weekends
Key Responsibilities
Provide responsive support to executives, including calendar management, meeting coordination, and project assistance
Prepare agendas, meeting materials, minutes, and follow-up tasks to ensure operational efficiency
Create and edit presentations, reports, spreadsheets, and communications using Microsoft Office Suite
Maintain internal documentation and resources on SharePoint and the company intranet
Coordinate travel arrangements, meeting logistics, and event planning with cost-effective solutions
Process expenses, invoices, and budget variances; assist with contracts and vendor documentation
Communicate with internal and external stakeholders to drive project progress and resolve issues
Support large-scale event planning and execution, both in-person and virtual
Qualifications
Associate's degree in a related field
Minimum 3 years of experience supporting executives in a fast-paced environment
Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, SharePoint, Visio)
Strong organizational, time management, and multitasking skills
Excellent written and verbal communication skills
High level of discretion, professionalism, and confidentiality

Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr.
