Job Title: Executive Assistant Department: Administration Reports To: CEO FLSA Status: Exempt, Full-Time Location: Hiawatha, KS Position Summary: The Executive Assistant provides comprehensive, high-level administrative support to the Chief Executive Officer (CEO) and the Executive Leadership Team. This position is a dual-role position responsible for providing day-to-day marketing and communications activities for the organization. This position requires exceptional organizational skills, strong attention to detail, and creativity in developing effective marketing strategies. The role serves as a professional representative of the executive office and plays a key part in enhancing the organization's visibility, communications, and community engagement. In addition to administrative responsibilities, the Executive Assistant will assist with marketing initiatives, including internal and external communications, social media management, and event coordination. The position acts as a professional representative of the executive office, serving as a liaison with staff, board members, and external stakeholders while maintaining strict confidentiality. Key Responsibilities:Executive & Administrative Support:
- Manage calendars, schedule internal/external meetings, and coordinate logistics for events.
- Prepare and organize materials for board meetings and executive meetings, including compiling packets, taking minutes, and managing follow-ups.
- Prepare and organize conference rooms.
- Support leadership in policy and procedure documentation, grant applications, and internal reporting.
- Handle confidential information, maintain filing systems, and assist with administrative tasks as needed.
- Track and follow up on project deadlines and deliverables across departments.
- Coordinate travel, lodging, and expense reporting for leadership and board members.
Organizational Support:
- Act as liaison between leadership and internal teams, ensuring timely communication and task coordination.
- Assist with maintaining accreditation and compliance documentation (e.g., KDADS, SAMHSA, CMS).
- Support cross-functional initiatives including DEI efforts, staff wellness campaigns, and internal trainings.
- Assist with preparation and dissemination of organizational updates, memos, and policy changes.
Marketing & Community Outreach:
- Develop and implement marketing and communication plans to promote services, programs, and events.
- Manage and update the organization's website and social media platforms with accurate, engaging content.
- Create newsletters, press releases, and marketing materials that reflect the mission and values of the organization.
- Plan, promote, and support community outreach events, awareness campaigns (e.g., Mental Health Awareness Month), and fundraising activities.
- Coordinate branding efforts to ensure consistent voice and imagery across all platforms.
- Gather testimonials, impact stories, and outcomes to showcase organizational success and community impact.
Data & Reporting:
- Track engagement metrics (website, social media, event participation) and compile regular reports.
- Support data entry and administrative components for program evaluations or client satisfaction surveys.
- Assist with marketing data needs for grants, donor reports, or board presentations.
Foundation:• Collaborates with the Kanza Mental Health and Guidance Center's Foundation Board to develop and implement strategic fundraising initiatives. General: • Perform other duties as assigned in support of organizational goals and priorities. Requirements Qualifications:
- Associate's or Bachelor's degree in Business Administration, Marketing, Communications, or a related field; experience in mental or behavioral health preferred.
- Minimum 2 years of administrative experience, preferably supporting executive leadership; marketing experience required.
- Strong understanding of mental health services, confidentiality (HIPAA), and cultural sensitivity.
- Proficiency in Microsoft Office, Canva, Adobe Creative Suite, email marketing tools, and social media platforms.
- Excellent written and verbal communication skills.
- Strong multitasking, prioritization, and time management skills.
- Ability to work independently and as part of a collaborative team.
Working Conditions:
- Full-time position, generally Monday-Friday, with occasional evening or weekend events.
- May require limited travel for outreach events or training.
- Hybrid work arrangements may be considered.
