Position Summary Beacon Health System is seeking a highly skilled and proactive Executive Administrative Partner in a HYBRID role to provide comprehensive administrative support to three HR Vice Presidents. This role is essential to ensuring smooth operations, effective communication, and strategic coordination across the HR leadership team. Key ResponsibilitiesExecutive Support & Coordination
  • Manage calendars, schedule meetings, and coordinate daily activities.
  • Prepare meeting materials, presentations, and confidential reports.
  • Arrange travel and prepare itineraries for executives and board members.
Communication & Liaison
  • Serve as a primary point of contact for internal and external stakeholders.
  • Greet visitors, respond to inquiries, and represent Beacon professionally.
  • Draft and manage sensitive communications and correspondence.
Project & Event Management
  • Support special projects, site visits, and executive-level events.
  • Assist in planning and distributing materials for Board meetings and committees.
  • Collaborate with other administrative professionals to ensure cohesive support.
Operational Excellence
  • Maintain organized filing systems and records.
  • Perform data gathering, calculations, and report preparation.
  • Ensure compliance with organizational policies and regulatory standards.
Organizational Responsibilities
  • Attend and participate in department meetings.
  • Complete mandatory education, competencies, and health requirements on time.
  • Maintain certifications and licenses in good standing.
  • Adhere to safety protocols and regulatory compliance.
  • Be available for overtime and flexible scheduling as needed.
QualificationsEducation & Experience
  • Minimum 5-7 years of progressively responsible administrative experience.
  • Experience supporting senior leadership in a healthcare or corporate setting preferred.
Skills & Attributes
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational, analytical, and communication skills.
  • Ability to exercise discretion, independent judgment, and maintain confidentiality.
