Key ResponsibilitiesFront Desk Duties
  • Greet visitors and provide a warm and professional welcome.
  • Answer and manage calls from the main line, including taking and relaying messages or transferring to voicemail as needed.
  • Ensure phone coverage by designating a backup during desk absences.
  • Provide accurate information to callers and address inquiries from the public and customers.
  • Handle incoming and outgoing mail and sign for deliveries.
  • Maintain and refill postage as necessary.
Information Technology Support
  • Set up new extensions, direct dials, and email signatures for employees.
  • Assign appropriate software to employees based on their job requirements.
  • Maintain an accurate log of user IDs, passwords, and IT equipment inventory (laptops, monitors, etc.).
  • Oversee the iPad and iPhone systems, assisting with troubleshooting as needed.
  • Keep a running list of IT items requiring attention to ensure optimal service.
Office Administration
  • Maintain a clean, organized reception area, copier spaces, and kitchen throughout the day.
  • Ensure copiers are stocked with paper and supplies daily.
  • Coordinate with vendors for office cleaning and maintenance requests.
  • Manage the company alarm system and provide instructions for new employees.
  • Create and update business cards and phone lists for employees.
  • Ensure restrooms and the kitchen are stocked and clean.
  • Prepare coffee and manage the dishwasher throughout the day.
  • Oversee recycling and trash removal as needed.
Additional Support
  • Translate company documents as needed.
  • Provide administrative assistance to other departments as required.
Qualifications
  • Must have strong organizational skills, communication skills, and attention to detail.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Basic IT troubleshooting knowledge is a plus.
  • Bilingual in English and Spanish is preferred.
Compensation & Benefits
  • Pay: $22–$26 /hour (based on experience)

  • Benefits: Medical, Dental, Vision, 401(k) with 4% company match, Paid Vacation, Sick Leave, Holidays

  • Schedule: Full-time, Monday–Friday, 6:45am–3:45pm (in-office)
