JOB SUMMARY

Responsible for Supply Chain Management database management and application support. Work closely with all areas of purchasing, IT and logistics to understand users' needs, workflows and system requirements. Analyze system and advice management in order to maximize the Supply Chain Management systems.

DUTIES & RESPONSIBILITIES

  • Responsible for Supply Chain Management database systems application support, including enhancement, testing, training, reporting, business analysis, user access control, internal audit and compliance.
  • Create and maintain item masters along with all pertinent specifications. Follow procedures for approval requests from purchasing management, ancillary departments, and/or ships. Create standard and alternative item specifications for various port locations worldwide.
  • Create and maintain the storing schedules by vessel based on input from the Logistics Department.
  • Maintain ethical and professional relations with team members and internal customers. Provide customer service to internal and external customers including fleet and shore-side departments.
  • Create, update, manage, and file contracts provided by the Purchasing team. Monitor and remove duplicate fulfillment rules and communicate findings and changes to team daily. Identify overlapping contracts and update profiles in database. Provide team with updates of findings.
  • Maintain storing schedule in Supply Chain Management systems based on loading information provided by logistics, purchasing and marine operations.
  • Research issues in database as requested by users and determine if problem requires assistance from system support or purchasing management.
  • Test documented issues, enhancements and reports related to purchasing. Aid in testing ancillary issues pertaining to ship side functionality, receiving, accounting and transmission, as requested by database systems and approved by management. Alert management of any problems that require enhancements from system developer, and/or any enhancements to improve efficiency.
  • Act as a liaison between department users, management and Supply Chain Management systems IT support.
  • Train all new purchasing employees on system procedures and applications.
  • Perform internal audit and analysis of purchasing data, when requested by management.
  • Maintain documentation of database workflows, policies, procedures and manuals posted to the company's intranet site.
  • Assist management with providing historical information, ad-hoc reporting and analysis.
  • Perform other job related functions as assigned.

QUALIFICATIONS

DEGREE TYPE: Bachelor's Degree

FIELD(S) OF STUDY: Business, Hotel/Restaurant Administration or equivalent work experience.

EXPERIENCE

  • Minimum 2 years' experience in the food service, hospitality, travel service, transportation industries or information technology, with emphasis on procurement or contract administration.

COMPETENCIES/SKILLS

  • Strong knowledge of information technology, Supply Chain Management systems, Microsoft Excel, Microsoft Word and Power Point and database management in order to create reports, presentations and correspondence.
  • Ability to multi-task with confidence and speed in execution.
  • Ability to prioritize tasks while supporting organizational and customer needs in a team-based environment.
  • Must have good working knowledge of and experience in purchasing. Good written and verbal communication skills in order to interact with team members from different departments and management.
  • Good organizational skills are required in order to handle multiple tasks.
  • Excellent analytical and critical thinking skills.
