Talent Acquisition Onboarding Specialist
Full Time, Monday through Friday (standard business hours)
Hybrid in-office / remote position
The Talent Acquisition Onboarding Specialist performs time-sensitive and provides due diligence to maintain departmental policy and process for hiring and record retention; with emphasis on talent acquisition, securing and reviewing necessary and relevant employment credentials, maintaining current and prospective employee records, responding to departmental and vendor inquiries, participating in audits, and leveraging available systems and resources to perform effective functional data analysis and talent mapping. This position engages in robust data stewardship and reconciliation, customer service to address onboarding and retention opportunities, employment management system (EMS) utilization, vendor systems in support of the hiring process, and regulatory research. Critical impact in this position includes development, enhancement, and maintenance of positive working relationships, resources, events, and processes in accordance with agency goals, requirements, and interests in the communities we serve.
Some Essential Functions of Position:
- Review and process candidates for hiring
- Complete phone screens and facilitate Leadership interviewing with applicants
- Facilitate and review functional communications and initiatives with new hires, employees, supervisors, and vendors to support inclusive onboarding and retention goals
- Guide internal and external hire activity and employee record keeping based on operational standards and the agency strategic plan to foster retention, compliance, and collaboration
- Maintain readiness to provide coverage and feedback for functional special events, employee record audits, and ad-hoc functional demands to maintain standards and expectations
- Deliver and reinforce any onboarding and employment record information with accuracy and sense of urgency e.g., process, performance expectations, procedures, and requirements
- Provide encouragement, verification, and recognition assistance for targeted HR system, vendor, and resource utilization, including ATS (Applicant Tracking System).
- Engage with candidates, hiring managers, and vendors to guide, align, and monitor candidate and employee record progression, employee resource allocation, and maintenance
- Build and maintain productive relationships with authorized staff, vendors, and resources
- Support HR staff to maintain integrity and reliability of talent data and communication
- Perform, monitor, and report out regularly on I9, credential, sanctions and exclusion checks
- Other duties as assigned
Minimum Qualifications:
- One year of experience supporting recruiting, talent acquisition, or employee records management required; prior employment in human services or related industry preferred
- Prior compliance support experience required; HR process education experience preferred
- Prior experience with an ATS and HRIS required; Workday experience highly preferred
- Excellent verbal and written communication skills required
- Demonstrated high level of customer service, organizational, and time management skills
- Excellent data management, database skills, and computer skills required; must be proficient in Microsoft Suite, including Excel and PowerPoint
Knowledge, Skills, Abilities and Core Competencies:
- Perform at or above expectations for satisfactory performance within each core competency referenced above in job description.

- Working knowledge of any Applicant Tracking System, clearance and credentialing software
- Ability to utilize technology to develop resources and reference points for services provided
- Proficient with oral and written communication, active listening skills, and PowerPoint
- General knowledge of employment laws and their application to the employment cycle
- Ability to work cooperatively with a diverse staff at various levels within the agency
- Excellent computer data management and database skills, especially Excel spreadsheets and the ability to read and interpret KPI dashboards
- Ability to function independently in a multi-task environment, as well as part of a team
