Job Summary:

The Human Resources Coordinator acts as a Koozie Group Ambassador, aids with and facilitates the human resource process at the Sleepy Eye facility. This role provides administrative support to the human resource function, including but not limited to record-keeping, file maintenance, HRIS entry, onboarding, and providing administrative support to all employees. Candidate must possess expert knowledge of a variety of Microsoft Office application including but not limited to Word, Excel, PowerPoint and Outlook. Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy. Strong analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems and prioritize work. Interpret and implement procedures and computer applications to support the team. Selected candidate will oversee and coordinate projects, set priorities, meeting deadlines and follow up on assignments with a minimum of directions. Work requires continual attention to detail in for report accuracy. Associates or Bachelors degree in Administration, Human Resources, Business Management or related field, and 1-2 years experience in administrative position preferred.

General Office Responsibilities

  • Acts as a Koozie Group Ambassador, providing exceptional service to internal and external customers in person, via phone and via email
  • Answers and directs inbound phone calls, ensuring appropriate transferring and guidance to all callers
  • Greets internal and external guests and appropriately routes them to the correct party
  • Inbound mail sort and distribution
  • Assist in planning/coordinating/purchasing for engagement events and initiatives
  • Other duties as assigned

Human Resources and Talent Acquisition Responsibilities

  • Schedules employee meetings with HR Business Partner as needed
  • Supports the onboarding process as a Koozie Group Ambassador to selected new hires
    • Ensures all pre-employment facets are completed by each candidate and progression steps are followed using various site tracking tools
      • Ensures background submission is completed
      • Ensures drug screen step is completed
    • Assists in scheduling drug screens on or offsite as needed
    • Acts as the candidates point of contact through the onboarding process, answering or redirecting follow up questions as necessary
    • Sending welcome emails inclusive of orientation details
    • Communicates accepted positions and role assignments for technical set up
    • Confirms all system accesses are completed prior to hire date
  • Prepares for and liaisons new hire orientation
    • Ensures all paperwork is completed, filed and uploaded
    • I9 completion
    • Access badges are issued
    • HRIS system is set up
  • May assist in screening candidate applications, scheduling prescreen and in-person interviews via phone and email, and extending offers to candidates as requested
  • Proficiently operates within the various HR technical systems, not limited to the Applicant Tracking System, Human Resources Information System, Timekeeping System, etc.

Preferred Skills:

  • Proven experience as an HR coordinator or relevant human resources/administrative position
  • Strong ability in using MS Office (MS Outlook, MS Excel, and MS Powerpoint)
  • Experience with HR databases and HRIS systems (e.g. ADP, Oracle, Kronos)
  • Ability to work with ATS software (e.g. ADP)
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • Strong organization skills, ability to oversee and coordinate projects, set priorities, meeting deadlines, and follow up on assignments with minimum directions
  • High attention to detail
