Job Title: Administrative Assistant at Sussex Central High School Reports To: Principal Job Type: Full-Time (12-Month 250 Day) Job Summary: The Administrative Assistant plays a key administrative role in ensuring the smooth operation of the school office. This position involves providing clerical support to school staff, managing communication with parents and the community, maintaining student records, and handling daily office tasks in a professional and efficient manner. Key Responsibilities:

  • Greet and assist students, parents, staff, and visitors in a friendly and professional manner.
  • Answer and direct phone calls, take messages, and handle routine inquiries.
  • Maintain and update student records, attendance logs, and other confidential files.
  • Manage the school's main calendar, scheduling meetings, appointments, and events.
  • Handle incoming and outgoing mail and correspondence.
  • Prepare and distribute school communications such as newsletters, bulletins, and announcements.
  • Assist with enrollment, registration, and withdrawal of students.
  • Support teachers and administrative staff with clerical tasks, such as photocopying and filing.
  • Order and maintain inventory of office and classroom supplies.
  • Assist in monitoring students sent to the office and handle minor first aid or notify appropriate personnel when needed.
  • Ensure compliance with school policies and procedures in all administrative functions.
Qualifications:
  • High school diploma or equivalent required; additional administrative training or associate's degree preferred.
  • Previous experience in a clerical or administrative role, preferably in an educational setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and school management software (e.g., PowerSchool, Infinite Campus).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Friendly, approachable demeanor with the ability to interact professionally with a diverse school community.
Working Conditions:
  • Standard school office environment.
  • May involve occasional lifting of supplies or files.
  • Typically follows the school calendar, with some potential for extended hours during busy periods (e.g., enrollment, end of term).
