Job Summary
The Project Administrator plays a critical support role within the project management team, ensuring the smooth execution of construction projects through efficient document control, coordination, and communication. This position provides essential administrative assistance to project managers, superintendents, subcontractors, and clients across various phases of a project lifecycle, from pre-construction to closeout.
Key Job Responsibilities
Project Coordination & Support
• Assist Project Teams with administrative tasks to ensure project deliverables are met on time and within budget.
• Utilize project management software to generate and track subcontracts, purchase orders, bonds and other functions as required within the software.
• Act as a resource for Project Teams on certain company policies and procedures.
Document Control
• Maintain accurate and organized project files in accordance with company procedures and project requirements.
• Coordinate with Project Team to ensure flow of documentation and deliverables are complete and accurate.
• Assist with contract administration including subcontractor agreements, purchase orders, and insurance compliance.
• Maintain project documents and project files within the project management software.
• Gather and assemble supporting documents for project closeout.
Project Financial Administration
• Support billing and payment processes by tracking invoices, lien waivers, pay applications, and compiling required documents for owner billing submissions.
• Monitor project financial inputs and assist in the preparation of monthly financial reports (job cost reports, transaction details, etc.)
• Utilize other departmental software to research and review reports.
Compliance
• Ensure compliance with internal policies and industry regulations.
Project Closeout
• Support project closeout by organizing warranty documents and other required waivers.
Qualifications
• Strong organizational and time-management skills with the ability to manage multiple tasks and deadlines
• Clear, professional verbal and written communication skills
• Positive, team-oriented attitude with strong interpersonal skills
• Dependable and proactive - shows up consistently and follows through on commitments
• Self-motivated, adaptable, and able to work both independently and collaborativel
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook); willingness to learn construction software (Procore experience a plus, but not required).
• Attention to detail with the ability to maintain accuracy in document control and financial tracking
• Bachelor's or Associate's degree preferred, or equivalent professional experience.
• Previous administrative or office coordination experience preferred
