The Phone Operator serves as the first point of contact for callers to the university, providing courteous, professional, and accurate information while directing calls to the appropriate departments, staff, or faculty members. This role plays a key part in creating a positive first impression of the university and ensuring efficient communication across the campus community. Responsibilities
- Answer and direct incoming calls in a professional and courteous manner.
- Provide general information about the university, including departments, services, office hours, and campus events.
- Maintain knowledge of university directory, staff extensions, and departmental functions.
- Transfer calls to appropriate staff or departments and relay accurate messages when individuals are unavailable.
- Assist with emergency calls by following established university communication protocols.
- Support administrative functions by handling inquiries via phone, voicemail, and occasionally email.
- Maintain confidentiality and comply with university communication policies and federal regulations (e.g., FERPA).
- Monitor and update university phone system directories as needed.
- Provide excellent customer service to callers, visitors, and campus stakeholders.
- Perform other clerical or reception duties as assigned.
Education
- High school diploma or equivalent required; some college coursework preferred.
- Prior experience in customer service, call center, or office administration preferred, ideally in an educational or professional setting.
- Must be able to lift 10 pounds.
