Job Summary Under the direct supervision of the Administrative Services Supervisor, performs routine clerical functions. Employees in this class are expected to perform relatively independently. Essential Duties & Responsibilities: -Perform reception duties - open and close office. -Answer multi-line telephone and provide information and referral services. -Schedule appointments for outpatient clinic, intoxicated driver assessments, court ordered assessments, Lakeland Industries staffings, etc. -Receipt money. -Type medical reports/evaluations, correspondence, memos, forms, brochures, envelopes and similar material from transcriber, rough draft or clear copy. -File/scan correspondence, reports, forms, etc. -Trouble shoot problems with office equipment. -Trouble shoot medication issues from clients, pharmacies, etc. Coordinate prescription refill requests with Psychiatrist. -Oversee Intoxicated Driver Program, scheduling appointments, completing paperwork, monitoring services, report compliances and non-compliances to Department of Transportation, and plan annual provider meeting. -Backup for Telehealth presenter. -Member of Agency Safety Committee, monitor SDS sheets, and complies with required safety reports. -Set up APS files in TCM along with tracking and entering data. -Report State PPS/HSRS units on a monthly basis. -Build production export files in TCM, correct errors from batch reporting, import MCI clearance files, troubleshoot errors, and member of the TCM Consortium Group. -Completion of SAMS reporting complying with State and Federal regulations. -In the absence of the Early Intervention Specialist, take Birth to Three referrals, review notes in TCM to billing logs from providers, prepare payment vouchers, enter information into TCM/PPS. -PAP/Sample Medications: Completes application, gather information for some programs and have Psychiatrist sign application and provide prescription. Scan completed application and mail. Record medications, prepare signature card, call client to inform them of the arrival of the medication. Reorder medication when due. Keep sample medications and coordinate visit with Psychiatrist to obtain signatures. -Prepare Prior Authorization requests from pharmacies for Psychiatrist signature. -Prepare intakes for outpatient staffing. -Prepare outpatient caseload and court ordered assessments. -Obtain and verify valid release for records requests. Prepare records for release. -Prepare, sort and distribute department mail. -Log program supervision on an excel spreadsheet for the CSP, CCS, Clinical and Outpatient. -Log PASAAR screens on excel spreadsheet and file/scan alphabetically. Complete PDF file of all screens at the end of the year. -Assist with Economic Support applications and paperwork, navigating CARES System, process Badger Care Plus payments, check over food distribution reports, issue replacement Quest cards, etc. -Responsible for the coordination, scheduling, and monitoring of the Driver Escort Program. -Create and distribute meal site/home delivered meal menus. -Create and mail meeting notices for the We Are People Group, Commission on Aging, Nutrition Council, and Community Services Advisory Committee. Attend meetings and take minutes for the Commission on Aging, and Community Services Advisory Committee. -Complete Living Treasures project annually. -Perform backup duties to the Clerk Typist/Human Services Program Assistant/other Office Assistants/Receptionist as needed. -Attend staff meetings and training as directed. -Perform other duties and participates in special projects as assigned. Work Requirements: -High School Diploma or GED. -Two to three years related experience. -Valid WI driver's license with adequate insurance coverage required by the County.
