Position Type: Secretarial/Clerical/Office Manager Date Posted: 9/8/2025 Location: Transportation Services POSITION ANNOUNCEMENT September 8, 2025 POSITION: Office Manager LOCATION: Transportation JOB SUMMARY: The Dougherty County School System is seeking an Office Manager for our Transportation Department to join our roster of experienced, motivated, and effective professionals. The Office Manager provides advanced administrative and operational support to the Department of Transportation. This role ensures smooth and efficient departmental functioning through skilled clerical work, effective communication, data management, and coordination of processes that support school transportation services. MINIMUM QUALIFICATIONS:
Associate's degree or two years of post-secondary training in Business, Office Technology, or related field; Five (5) years of increasingly responsible clerical or administrative experience, preferably in a school or public service environment; Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook);Google (sheets, slides, meet, doc) experience with Access or other database software preferred; Such alternatives to the above qualifications as the Superintendent and the Board may find appropriate. SKILLS AND ABILITIES: Excellent communication and interpersonal skills, with the ability to interact effectively with students, parents, and staff from diverse backgrounds; Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines; Ability to maintain confidentiality and handle sensitive information with discretion; Demonstrated ability to work independently and as part of a team. PERFORMANCE RESPONSIBILITIES: Administrative Support Provide clerical and administrative assistance to the Director of Transportation and transportation administrators; Schedule meetings, maintain calendars, and handle correspondence; Maintain personnel files for all Transportation Department employees. Communication & Public Service Serve as the first point of contact for public and internal inquiries regarding transportation matters; Route calls, take messages, and provide accurate information on school zones, bus routes, and scheduling. Data Entry & Management Maintain and update transportation databases; Track and report staff attendance and process leave requests in coordination with HR; Input and verify payroll information for regular and substitute drivers. Compliance & Reporting Prepare and submit required reports, including the Superintendent's Report; Schedule and document driver physicals, accident/injury reports, and related compliance paperwork; Ensure transportation department practices align with district policy and applicable regulations. Operational Support Monitor base radio and assist with on-the-road support as needed; Manage use of department-issued credit cards and submit reconciliation reports; Support supervisors with logistics, routing needs, and departmental tasks; Perform other duties as assigned to support the operations of the Transportation Department. WORK/PHYSICAL REQUIREMENTS: Ability to sit, stand, and walk for extended periods in an office or operations setting; Capability to lift and carry materials up to 25 pounds; Sufficient vision and hearing to communicate effectively, read documents, and work on a computer; Ability to move between administrative offices and transportation facilities; Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
