General Summary Statement
Assists with general office management duties to include the day-to-day operations of a busy outpatient diabetes education and nutrition department. Duties include management of all incoming correspondence (calls, emails, EMR messages, etc.), patient appointment scheduling and registration, supply ordering, and administrative support to ensure efficient daily operations. Excellent interpersonal and customer service skills are required.
Essential Duties and Responsibilities
Scheduling and Registration
Manages all aspects of patient scheduling and registration in EPIC including, but not limited to phone correspondence, emailing/mailing of required paperwork, referral, script and lab acquisition, insurance verification, class rosters, and scanning materials into media manager.
Obtains all necessary insurance referrals, insurance authorizations and track Medicare hours.
Makes reminder calls or emails for upcoming appointments.
Calls patients who cancelled or missed their appointments to reschedule as appropriate; documents communication and sends the appropriate communication to referring provider.
Keeps all registration appointment notes current in EPIC.
Communicates scheduling changes to team via staff messages in EPIC.
Communicates staff and patient scheduling needs to manager.
Uses language line to schedule Spanish speaking patients for appointments and/or to provide reminder calls.
Reviews referral work queue in EPIC daily and schedules accordingly.
Reviews the rescheduled patient list and wait list daily.
Reviews patients lost to follow-up in EPIC to schedule appointments or send the appropriate communication to referring provider.
Checks the AHQA weekly for errors in registration.
Maintains EMR in an up-to-date manner by assuring all incoming labs, prescriptions and records are scanned daily.
Financial Management
Ensures that information in Epic is complete and accurate and assists in collecting insurance information and co-pays where indicated.
Manages all money and prepare deposits daily through the Cash Drawer in EPIC.
Processes check requests through Penn Cash.
Makes general ledger deposits in Trust Commerce or Penn Cash.
Checks the CFB as needed to identify any outstanding or missing revenue.
Consults with Revenue Integrity as needed for patient accounts with billing questions.
Conducts monthly spot skim on devices for integrity.
Miscellaneous office duties
Maintains office and medical supply inventory and places orders as needed.
Prepares daily logs and class rosters with correct and pertinent information for billing and data collection.
Places Plant Ops requests for identified department issues as needed.
Obtains incoming mail from the mail-bin and distributes to appropriate staff as needed.
Accepts delivery of materials; obtains packing slips and opens packages to verify content.
Education Training and Experience
Bachelor's degree in business or related field is preferred.
Experience in health care environment preferred.
Computer skills are essential (Word, Excel, Outlook) experience with EMR preferred.
Bilingual a plus.
