Job Description

The Facilitator Support Specialist role supports the Group Meeting Facilitator and the Engagement Team to guide discussions of topics laid out in group meetings and/or project/taskforce initiatives, with the purpose of moving the team towards a common goal. The Facilitator Support Specialist helps foster collaboration and teamwork and supports the management of conflict among team members. The ProSidian Consultant | Facilitator Support Specialist will help coordinate, lead, and support all phases of team meetings to ensure progression and completion of work, and supports the Global Project Lead (GPL) and Project Team. The role is accountable for supporting quality, timeliness, and effectiveness of group meetings and/or project/taskforce initiatives that lead to final outputs achieving stated mission objectives.

The engagement team helps organizations in the public and private sectors build and develop effective relationships based on collaboration. Our approach focuses on knowledge transfer, team building, and strategic collaboration, enabling organizations to build internal capability, process, and systems. In this position, you will participate in all phases of client project requirements for facilitator support. Facilitation teams provide practical guidance based on experience across commercial, government, and academic arenas.

The job of a “Facilitator Support Specialist” is a core team member role throughout the program period. The Specialist works to support the Group Meeting Facilitator and the Engagement Team, assisting private companies, fortune 1,000 enterprises, and government agencies of all sizes. You support the management of flow and energy, listen to participant needs, proactively plan, and provide technical support for group meetings and/or project/taskforce initiatives.

You will work as part of a team and help groups such as business teams, advisory boards, emergency action task forces, working groups, strategy planning teams, and community organizations with diverse perspectives to solve problems and improve operations through structured strategic solutions. The Facilitator Support Specialist helps the Engagement Team overcome obstacles and troubleshoot planning and technical issues so the group can communicate effectively.

Responsibilities include coordination and logistics, agenda development, client participation management, ongoing course adjustments, documenting and distributing outputs, and supporting leadership coaching and post-event analysis. You will participate in program requirements across private, public, and government sectors, delivering practical facilitation guidance and maintaining detailed meeting records.

  • Support facilitation of interaction among multi-party entities with diverse local and regional interests on project/taskforce initiatives.
  • Answer inquiries from customers, resolve administrative problems, and respond to client/stakeholder questions in a timely manner.
  • Coordinate meeting schedules, assist with agenda creation, facilitate meetings, and distribute meeting minutes.
  • Cross-train with lead facilitator to lead small group sessions and learn facilitation roles and requirements.
  • Follow up on delegated duties and drive actions to ensure stakeholders understand and carry out responsibilities.
  • Foster collaboration and communication within teams.
  • Co-develop, review, approve, and distribute meeting agendas and materials.
  • Encourage participative discussions while maintaining a respectful environment.
  • Capture meeting discussions/decisions in Word or Excel with full reports of minutes, actions, and future agenda.
  • Maintain filing systems and manage office documents related to group meetings and project initiatives.
  • Support strategic planning discussions, SWOT analyses, and other project planning activities.
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
  • Provide general administrative and clerical support including mailing, scanning, faxing, and copying.
  • Provide facilitation support during strategic planning sessions, advisory board meetings, retreats, conferences, training, and knowledge management engagements.
  • Travel with the facilitator to meetings and assist with setup and teardown of spaces.
  • Work with the facilitation team to ensure successful implementation of services through cross-functional activities and internal team-building.

Qualifications

  • A committed, driven individual with strong interpersonal, time management, and organizational skills.
  • Ability to communicate with customers, contractors, and the public to support board and committee meetings.
  • Ability to juggle multiple projects with accuracy.
  • Experience live-capturing meeting discussions/decisions in Word or Excel and summarizing information clearly.
  • Bachelor's degree in a relevant field or a minimum of 5 years' experience in a similar role.
  • Ability to obtain clearance and work as administrative support lead for relevant initiatives.
  • Comfortable working with group dynamics and facilitating meetings or initiatives.
  • Exceptional customer service skills, on the phone and in person.
  • Experience in facilitating strategic planning, board retreats, advisory boards, or conferences with a consensus-based approach.
  • Familiarity with core Microsoft Office tools; proficiency with Excel, Outlook, Word, and PowerPoint.
  • Strong problem-solving, conflict resolution, teamwork, planning, and organizational skills.
  • Strong written and oral communication and cross-functional collaboration abilities.
  • Valid passport and ability to travel as required.
