Description Of Job The Division of Housing partners with local communities to create housing opportunities for Coloradans who face the greatest challenges to accessing affordable, safe and secure homes. Working with the State Housing Board, DOH supports projects ranging from homelessness prevention to homeownership. DOHs Work Includes
  • Increasing and preserving Colorados inventory of affordable housing
  • Managing rental assistance vouchers
  • Creating and supporting collaborative approaches to end homelessness
  • Regulating Mobile Home Parks and the construction and installation of factory-built structures
Operations supports the work of the division with data management and analysis, contracting and full range of budgeting, purchasing, payment transactions, and management of office operations. Responsibilities This new Staffing Coordinator position supports the Division of Housing and the Operations Director by providing comprehensive administrative and organizational support. The primary duties and responsibilities of this position include, but are not limited to: Staffing Management Support
  • Maintain, track and update staffing plans and division organizational charts for 200+ employees.
  • Update and maintain position tracking records, ensuring position numbers and vacancies are up to date.
  • Track hires, separations, term limits, discretionary pay, awards, abolished positions and dialogue with Human Resources to troubleshoot discrepancies.
  • Create, submit and track Personnel Action Requests (PARs).
  • Develop standard operating procedures for related tasks.
Budget Management Support
  • Meet regularly with budget analysts and office directors to ensure accounting templates and funding codes are accurate. Facilitate changes with Human Resources, if needed.
  • Administrative budget review to ensure funding sources are appropriately charged and spent down.
  • Manage purchases and transactions for the division. By applying fiscal rules, order office supplies and coordinate travel for employees. Maintain receipts and correspondence to support payments and monthly reconciliation.
Time Management Support
  • Set up codes for Kronos timekeeping when new employees are hired or promoted and ensure employees enter the correct codes. This will enable the division and accounting to not have to process as many journal voucher entries later on.
  • Monitor and assist employees with timekeeping codes and dialogue with Payroll to correct issues.
  • Provide technical assistance and training to the division regarding timekeeping.
Minimum Qualifications, Substitutions, Conditions Of Employment & Appeal Rights Class Code & Classification Description H4R2XX Program Assistant II Minimum Qualifications Experience Only: Five (5) years of experience supporting a multi-faceted program, executive administration, executive assistant, office management, budgeting, legal, paralegal, education, contract administration, contract management, or contract monitoring. OR Education and Experience: A combination of related education in business management, business administration, public administration, finance, accounting, education, or a closely related field (as determined by the agency) AND experience as described above equal to five (5) years. Preferred Qualifications
  • State of Colorado experience with human resources, budgeting, Colorado Operations Resource Engine (CORE), procurement or accounting.
  • Strong knowledge of staffing and organizational management
  • Strong oral and written communication skills to effectively convey complex issues in a concise manner with stakeholders
  • Intermediate spreadsheet knowledge and skills (Excel/Google Sheets)
