ABOUT THE COMPANY

Our client, a privately held real estate investment firm headquartered in Huntington Beach, CA, is seeking a highly organized REO Asset Coordinator to support the administrative functions of a growing commercial real estate portfolio. The firm manages a diverse mix of retail, office, mixed-use, and multifamily assets across Orange County and other key coastal markets in California.

ABOUT THE ROLE

This role offers the opportunity to work in a fast-paced, collaborative environment supporting property management, leasing, and construction teams with a wide range of operational and administrative tasks.

WHAT YOU WILL BE DOING

  • Provide day-to-day administrative support to Property Management, Leasing, and Construction teams.
  • Maintain and organize digital records and filing systems related to construction, leases, insurance, and tenant correspondence.
  • Assist with market research and demographic analysis to support leasing efforts.
  • Draft and manage tenant communications, including notices and general correspondence.
  • Oversee and maintain the tenant portal and work order system.
  • Coordinate with vendors to schedule routine and emergency maintenance, ensuring compliance with service agreements.
  • Maintain and regularly update tenant and vendor contact lists.
  • Support the preparation of monthly and quarterly KPI reports related to the real estate portfolio.
  • Track expenses and assist with budget monitoring for capital improvements and development initiatives.
  • Perform other general administrative duties as needed.

WHAT YOU NEED TO HAVE

  • Bachelor's degree from an accredited institution required.
  • Minimum of 2 years of experience in an administrative role; prior experience in the real estate sector strongly preferred.
  • Strong time management skills with a proven ability to meet deadlines.
  • Positive, adaptable attitude with excellent interpersonal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with Yardi or other real estate management software preferred.
  • Local travel required.
