Florida Department of Health in Seminole County is looking for a self-motivated, hardworking individual fill our Administrative Assistant I position in the WIC office. Hours are 8:00 am to 5:00 pm Monday to Friday. This position requires traveling to other WIC sites as needed therefore you must have a current Florida Driver License. This position may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disasters or threat of disaster, man-made or natural. This position will maintain confidentiality and security of records as specified by departmental regulations and laws. Your Specific Responsibilities: This position is under the direct supervision of the Health Educator Consultant - SES. This is semi-independent work assisting program with administrative and confidential assignments. This position requires accurate typing, intermediate level computer skills, filing, general office and mailroom activities. Compiles data for administrative decisions. Produces reports, tables and query files upon request of management. Responsible for processing invoices for exempt infant formula and medical foods in compliance with the mandatory requirements of Section 215.422, Florida Stature and Chapter 69I-24, Florida Administrative Code. Assists federal and state auditors as necessary with gathering documentation as needed. Receives physical packages and delivers items and accounts for each item received. Stamps and makes copies of all packing lists and files as appropriate. Assists Vendor Manger in conducting compliance reviews of all Seminole County WIC vendors. Delivers and retrieves WIC items to and Places work orders for the WIC Program. Assists in maintaining inventory of WIC-owned laptops, FL-WiSE equipment and other WIC purchased items as required. Assists with submission of annual inventory reporting. Surplus items when needed to other WIC or state agencies or salvage companies as per state procedures. Performs tasks for monthly meetings, prepares agenda, records minutes of monthly staff and supervisor meetings. Coordinates WIC events to include set up, cleaning, reserving rooms and arranging speakers. Leads or serves as a back-up in coordinating outreach activities to promote the WIC Program in community agencies and private health care providers. Participates in at least 2 outreach events each fiscal year. Ensures adequate staff participation in outreach activities and maintains outreach participation log. Gives presentations on WIC Program overview to new staff/students/interns/community partners for any health department events as needed. Assists in the clerical area with answering telephone calls in a courteous and timely manner, makes the appropriate follow-up appointments per breastfeeding or nutritionist instructions and local WIC policy. Accurately completes and submits the following: daily employee activity report (EAR) daily sign in/our sheets, leave requests, People First timesheets and travel logs by required deadlines. Travels to other WIC sites as needed. Participates in nutrition and breastfeeding education activities. Completes all periodic DOH and WIC required trainings and updates all nutrition education materials on file with the newest handouts. Completes monthly master inventory for direct distribution formula and EBT. Performs other duties as assigned to support the mission of DOH-Seminole. Attends all required DOH meetings. Required Knowledge, Skills, and Abilities: Knowledge, skills and abilities, including utilization of equipment, required for the position: Able to determine work priorities and evaluate work outcomes, establish and maintain effective working relationships with others; organize and direct program actives, resolve problems and make decisions, understand and apply applicable rules, regulations, polices and procedures; communicate verbally, write effectively. Perform basic arithmetical calculations. Experience with computers, word processing, Windows operating system, Microsoft Office Suite, FL-WiSE, FIS, HMS and PeopleFirst. Must be able to function in a busy environment and able to perform multiple tasks while maintaining work area. Must possess professional customer service skills needed when dealing with employees, clients other department supervisors and senior managers. Ability to work independently, under pressure and with internal and external customers. Qualifications: 1. Do you have a minimum of one-year verifiable clerical experience within a healthcare/medical setting? 2. Do you have a minimum of one-year experience performing purchasing and/or inventory duties in a healthcare/medical setting? 3. Do you have at least one year of verifiable experience creating and maintaining reports using Microsoft programs, Word, Excel or Publisher?
