Position Summary: The Office Manager (OM) ensures the Administrative Office is running efficiently and effectively. The OM directly reports to the Director of Finance and HR but supports the entire agency and works closely with the Leadership Team. This position demands the ability to problem-solve and to work independently. The OM will assist the Director of Finance and HR and Director of Fund Development with basic bookkeeping duties. The OM will support the agency by coordinating various facets of office management, including basic IT support, HR onboarding, and ensuring the administrative building is stocked and running smoothly. The OM will coordinate with vendors and greet guests/clients when needed. Benefits Include:

Office Management:
  • Ensures office is organized and stocked.
  • Coordinates with vendors and maintenance volunteers.
  • Troubleshoots basic IT issues and coordinates with staff and IT vendor to resolve issues.
  • Distributes mail, scans files, and maintains office supplies.
  • Manage office equipment and office supplies (fax, copier, phones, etc.)
  • Ensures compliance with regulatory requirements for records retention.
  • Oversees calendars for shared spaces.
  • Greets guests and clients as needed.
Human Resources:
  • Assist LT with phone screens, scheduling interviews and reference checks when needed.
  • Provides basic HR onboarding to new employees including equipment assignment, computer set up and completion of new hire paperwork.
  • Post jobs on Bamboo HR.
  • Helps coordinate benefits, interfacing with benefit administrators including Health, 401K, Life Insurance, and Aflac
  • Facilitates monthly safety meetings.
Finance:
  • Maintains an effective level of communication with vendors and appropriate staff.
  • Assists with annual audit preparations.
  • Assists with credit card reconciliation, including organization and storage of credit card receipts.
  • Prepare and process bank deposits.
  • Other duties as assigned.
Fund Development:
  • Data entry of monthly givers
  • Assist with event planning and setup as needed
Administration
  • Assists Leadership Team with travel and training arrangements.
  • Assists Development Manager with donor management efforts.
  • Assists Director of Finance with Vendor relations.
Knowledge, Skills and Abilities:

  • Proficiency in data collection and reporting. Microsoft Teams, Word, Excel, Outlook, and SharePoint.
  • Ability to problem-solve and show initiative.
  • Must speak and write English proficiently (fluently).
  • Physical Abilities:
  • Ability to sit, walk, stand, bend, kneel, and twist on an intermittent basis including answering the front
  • Ability to grasp, push, pull objects such as files and reach
  • Physically able to walk or run if needed, climb stairs without
  • Ability to lift and carry at 40 pounds.
Education/Experience:
  • Associate Degree in Business Management, Finance or another related field.
  • 2 years' experience in Office Management and supporting a Leadership Team.
  • Must provide own transportation; possess a valid Washington State driver's license, proof of auto insurance, and a clean driving
  • Must be able to pass Washington State criminal background
