Accounts Payable Specialist – Rome, GA (Flexible Work Schedule)
About the Position:
We are seeking a detail-oriented and organized Accounts Payable Specialist to join our team in Rome, GA. This role offers a hybrid work schedule, with the ability to work from home two days per week. Under the supervision of the Director of Accounting, the Accounts Payable Specialist will be responsible for processing and monitoring invoices and ensuring compliance with accounts payable policies and procedures.
Key Responsibilities:
- Invoice and Email Management: Maintain the Accounts Payable and Invoice email inboxes, ensuring timely responses and issue resolution.
- Analytical Problem-Solving: Utilize strong analytical skills to review data, identify issues, and reconcile invoice discrepancies.
- Invoice Authorization: Log, distribute, and follow up on invoices to ensure proper authorization and processing in compliance with company policy.
- Records Maintenance: Update and organize invoice logs, scan and store records, and ensure accurate documentation using SAP software.
- Invoice Processing: Ensure invoices are processed with correct authorization, accurate information, and adherence to policies.
- Vendor Support: Address vendor inquiries and resolve issues by researching and reconciling accounts payable records.
- Reconciliation: Maintain integrity of the accounts payable invoice log and reconcile invoices with SAP system entries.
- Payment Proposals: Prepare weekly payment proposals and coordinate with Central Treasury functions for execution.
- Document Storage: Ensure proper storage and organization of electronic accounts payable documentation.
- Accrual Preparation: Assist in preparing monthly invoice accruals with appropriate coding and accuracy.
- Additional Duties: Perform other assigned tasks and reporting as needed.
Qualifications and Requirements:
- Software Proficiency: Knowledge of accounts payable systems and SAP software.
- Analytical Skills: Strong analytical abilities for discrepancy resolution and data management.
- Accounting Knowledge: Solid understanding of accounting principles and practices.
- Attention to Detail: Ability to maintain high accuracy and adhere to policies and procedures.
- Organizational Skills: Effective time management and organizational capabilities.
- Team Collaboration: Ability to participate in group discussions and contribute to teamwork initiatives.
- Flexibility: Willingness to adapt to a hybrid work schedule and occasional shifting priorities.
- Experience: Typically developed through 2–3 years of experience in an accounting environment with a high volume of transactions or through completion of relevant professional accounting studies.
