Role Overview
This role will support procurement, logistics, and inventory management functions to ensure that specialized materials, tools, and equipment are sourced, delivered, and managed efficiently to meet the unique demands of historic restoration projects.
Position would be onsite at our shop in Medina, New York.
Key Responsibilities:
Procurement Support
- Source specialized and historically accurate materials in line with project specifications.
- Communicate with vendors, artisans, and craftsmen to procure items such as period-appropriate wood, hardware, and finishes.
- Assist with preparing purchase orders and tracking approvals.
Logistics & Coordination
- Coordinate timely delivery of materials and equipment to shop or job sites, ensuring compliance with project timelines.
- Work closely with project manager, foreman, shop staff, and subcontractors to maintain clear communication on supply timelines.
- Monitor shipments and resolve issues related to delays, damages, or inaccuracies.
Inventory Management
- Maintain accurate records of stock levels at shop and job sites.
- Assist in forecasting and reordering to avoid delays or shortages.
- Ensure storage practices preserve the integrity of sensitive or rare materials.
Documentation & Compliance
- Ensure all procurement and supply chain records are complete, compliant, and up-to-date.
- Maintain accurate documentation for traceability and reporting.
- Support compliance with regulations and preservation standards where applicable.
Meetings
- Meet with direct supervisor weekly to discuss inventory, project supplies and vendors.
- Required to attend Monday morning all-staff meetings unless they have received prior approval for an absence from their supervisor or have a conflicting work obligation that has been communicated and approved in advance.
Skills & Qualifications:
- Bachelor's degree in Supply Chain Management, Construction Management, or related field (or equivalent experience).
- 2+ years of experience in supply chain, logistics, or procurement—experience in construction or restoration is a plus.
- Strong organizational and problem-solving skills.
- Proficiency in Microsoft Office and supply chain software.
- Excellent communication and negotiation skills.
- Ability to prioritize in a fast-paced, project-driven environment.
- Familiarity with historic building materials and restoration techniques.
- Experience coordinating with tradespeople, contractors, and specialty suppliers.
