We are presently seeking an individual who will Provide excellent customer service to internal and external customers while supporting the corporate staff and the HR team with various projects and tasks to maintain daily operations. As a successful Front Desk Receptionist, you will:
- Open/close front office reception area daily.
- Answer multiple-line telephone and monitor all messages left in general voicemail box.
- Take messages as needed and promptly email all messages to recipients.
- Greet visitors, page employees and make announcements as needed.
- Sort and email all incoming faxes several times daily.
- Stamp and distribute all incoming Accounts Payable invoices.
- Date stamp and sort all incoming mail and ensure proper distribution.
- Sign for and sort daily deliveries.
- Maintain supply of all Federal Express shipping materials.
- Track Federal Express shipments, provide delivery confirmation to sender and obtain credits when necessary.
- Maintain kitchen areas by ensuring supplies are stocked and areas are neat and organized.
- Assist Finance, Operations, HR and others with projects and tasks as needed.
- Provide back-up to process postage machine invoices as needed
- Provide back-up to review and process copier invoices for both Corporate North and Corporate South offices.
- Provide back-up to maintain supplies and call for service of copiers and postage machines for both Corporate North and Corporate South offices.
- Perform minor service on copier and postage machine, as needed, to avoid service calls and machine downtime.
- Record phone greetings for corporate office voicemail. Update and modify as necessary.
- Coordinate paper recycling pick-ups.
- Fund postage machine.
- Communicate with cleaning service to address items in need of attention
- Assist with Corporate events as needed
- Perform other duties as assigned.
Minimum Requirements
- High School Diploma or GED required; college course work in the field of Human Resources preferred.
- A minimum of 1 year experience working in a Human Resources Department
- Ability to maintain confidential and secure information.
- Proficiency with computers including the Internet and Microsoft Office, specifically Word, Excel and Outlook
- Favorable driving record and a valid operator's license.
- Excellent verbal and written communication skills with a customer service focus.
- Professional telephone skills.
- Ability to operate multiple line telephone system.
- Detail oriented with strong organizational, time management and follow-through skills.
- Ability to multitask and be a team player in a fast-paced environment.
