Holy Family Catholic Community is seeking an Administrative Assistant to the Pastor to serve as a trusted partner and central point of coordination for pastoral, administrative, and sacramental operations. This highly collaborative role supports the Pastor and the broader pastorate community with professionalism, confidentiality, and a spirit of hospitality. This is a benefit-eligible position, working 30 hours/weekly. Essential FunctionsPastoral & Administrative Support

  • Assist with the Pastor's calendar, travel, and correspondence
  • Draft formal letters, assist with reports, and support capital project logistics
  • Gather data and prepare the annual Archdiocesan report
  • Assist in coordinating and preparing for other pastorate events and activities
  • Oversees Pastorate Google Calendar
Front Desk & Office Coordination
  • Serve as a welcoming first point of contact for callers and visitors
  • Manage phone/email communications and maintain front desk operations
Marriage Ministry & Sacramental Records
  • Maintain marriage and annulment files in compliance with diocesan policy
  • Schedule meetings, collect documents, and assist couples through prep
  • Issue sacramental certificates and record notations accurately
HR & Compliance Oversight
  • Maintain confidential personnel records and oversee hiring/onboarding
  • Administer employee benefits and ensure HR policy compliance
  • Liaise with the Archdiocese on employment and insurance matter
Communications & Marketing
  • Manage website updates, social media posts, and e-newsletters
  • Design and coordinate the weekly bulletin
  • Collaborate with staff to promote events and ministry opportunities

  • Possess strong time management and multitasking abilities with a calm and pastoral presence.
  • Are proficient with technology (Microsoft Office, Google Suite, Canva, MailChimp social media platforms, web editing tools).
  • Have experience supporting executive-level leaders or clergy and can maintain strict confidentiality.
  • Understand and appreciate the sacramental and spiritual rhythms of parish life.
  • Are passionate about supporting the Catholic Church and walking with others in faith and service.
  • Minimum high school diploma or equivalent.
