Position Type: Secretarial/Clerical/Administrative Assistant 12-Month Date Posted: 8/26/2025 Location: Ledyard Public Schools Central Office Date Available: ASAP Closing Date: Open Until Filled The Administrative Assistant to the Director of Student Services will play a crucial role in supporting the administrative functions for Student Services. This position requires a highly organized, detail-oriented, and proactive individual who can manage multiple tasks efficiently. Responsibilities: Administrative Support:
  • Provide support to the Director of Student Services, including scheduling meetings, managing calendars, and preparing correspondence.
  • Maintain and update student records, files, and databases in compliance with state and federal regulations.
  • Assist in the preparation of reports, presentations, and other documentation as needed.
  • Coordinate and manage communications, including phone calls, emails, and in-person inquiries.
  • Serve as a liaison between the Student Services administration, parents, teachers, CSDE, BOE attorney and other stakeholders.
  • Facilitate effective communication and collaboration among team members.
  • Assist in planning and coordinating events, workshops, and training sessions for the Special Education department.
  • Prepare materials, arrange logistics, and provide on-site support during events.
Documentation and Compliance:
  • Ensure all documentation related to Individualized Education Programs (IEPs) is accurate, complete, and filed appropriately.
  • Assist in coordinating and preparing for IEP meetings, including notifying participants and organizing necessary materials as needed.
  • Management of CT-SEDS database including the intersection with other student information systems
  • Provide direction to building based staff regarding updates to CT-SEDS and any district practices
  • Oversight and processing of FERPA requests for students with disabilities
  • Identification, migration and archiving of student documents
  • Maintenance of Student Services information on district website
  • Track and monitor compliance with state and federal regulations regarding Special Education.
  • Design data tracking and monitoring tools to ensure clean and accurate data in accordance with federal and state compliance guidelines
  • Provide training and technical assistance regarding the functionality of CT-SEDS
Qualifications:
  • Three or more years experience working within state and federal special education law and Connecticut State policies and procedures in Special Education preferred
  • Experience working in a public school district preferred
  • Must have exceptional oral and written communication skills
  • Proficiency in computer database and emailing, including, but not limited to, Google Suites, CT-SEDS, SEDAC and Powerschool
Pay and Benefits: in accordance with the Ledyard Secretaries Agreement. Work Environment:
  • Works in standard office and school building environments.
  • Travel between schools and central office may be required.
